Time management is critical to boost good organization of one’s personal utilization of schedule. Managing the early morning routine, for example, could be one way of effective time management if things are executed in a smooth and convenient manner.

The problem with people who do not know how to manage their time wisely is that they would have the propensity to wake up to an alarm clock and leap into the day. On the other hand, people who know their way to sound time management will use the first 30 minutes or hour of their day for relaxation and reflection instead of leaping into each day haphazardly. This is because they have already set some definite time for each task that will be carried out throughout the day.

Therefore, having a cup of tea in your garden, writing a journal, or listening to music is not a waste of time for a person who knows how to manage his time wisely. These activities are part of his schedule; and the way he does these things are just part of how he will be able to cope up with stress the rest of the day.

With this, one can simply surmise that time management is a good way of managing stress. Hence, people who do not know how to manage their time would most likely develop more stress than anyone else would.

Here are some tips that could help beat that stress as a result of poor time management:

1. Make a “to do” list and prioritize your goals.

People who are prone to stress are usually those who strive hard by doing things all at the same time. They think that they have to do everything at once, even if it means nothing is accomplished in the end. This is one hard example of time mismanagement.

So, in order to accomplish sound time management, it is important that you make your own “to do” list and not somebody else’s. This is because you are the only person on earth who knows what should be done first.

The point here is to allot specific timeframe for each activity and prioritize them according to your own personal main concerns. For instance, you may want to finish law school; but since you are still in your undergraduate course, you may have to concentrate first on the things that you should be doing today instead of thinking about the things that you have to do when you are already in law school.

2. Use some tools.

Effective time management does not just happen as it seems to be. Everything happens for a cause and the main reason why some people are using their time wisely is because they use some tools that will remind them and help them organize their schedule.

Hence, it would be better if you will use some tools that will help you manage your time effectively. For example, you could start using a daily planner and start dividing your daily chores. Try to allot specific time for each task and see if you can still have some extra time for relaxation at the end of the day. You can also use the study hour formula to determine the amount of time you need to get a grade of “A” in class.

These tools are built to help those who simply cannot monitor their time in the strictest sense. These tools assist people to make time management best work for them.

Indeed, nothing can be as important as time. Without time, people will live a life full of chaos and confusions, doing everything at the same time and accomplish nothing. With sound time management, everything will be in order and people will be able to live stress-free.

Are you someone who makes lists of all the things you need to do? At the end of the day when you review your list, are you disappointed because you haven’t accomplished as much as you would have liked. Does this sound familiar to you?

We hear a lot about time management and how we need to organize ourselves and manage our time more effectively. In order to regulate our time, new ways of thinking and being need to be developed. Our attitudes and beliefs need to be identified and at times altered in order to make beneficial changes. We need to develop self management strategies. When we manage ourselves better we tend to be less overwhelmed, more productive and happier.

There are various models for time management. One is making daily and/or weekly lists, then prioritizing which items are the most important and tending to those first. Of course the challenge is that is if you don’t like some of the tasks, you probably tend to avoid doing them. (I know this strategy intimately.) It also does not account for all of the complications which arise nowadays on our job. Emails, voice mails urgent requests which must be dealt with immediately, or conference calls; all of the modern technology which has made our lives easier and more complicated at the same time. We are generally expected to do more in less time and with less support.

Steven Covey in his book, First Things First breaks tasks down into 4 quadrants:

* Urgent and Important,
* Not Urgent and Important
* Urgent and Not Important
* Not Urgent and Not Important

There is a great deal of value in this model and certainly gets one thinking about how to define the many things one has to do. The difficulty is that important projects can become urgent if one has procrastinated and that isn’t necessarily a helpful way to operate. It would also be relevant to identify what is important to you and spend time doing that as well, because it might never become urgent. For example, your family may be very important to you, but you frequently miss your child’s school or sporting events. Or your partner wants to spend more time with you, but somehow you don’t make it happen. It’s important, but not urgent. The other concern is when do unimportant things get tended to.

So how can we get things done in ways which are more productive and less stressful? David Allen, author of Getting Things Done, states that it is not about managing time, but rather about managing our actions. What would it be like for you to fully dedicate 100% of your attention to whatever task was present, of your own choosing with no distraction? Allen says it is possible to get things done with minimal effort in both your personal and professional life while staying relaxed. Athletes describe it as being in the “zone”. His strategy is to first get you thinking. What is something you want to accomplish? What outcome do you want to achieve and what is the very next action you need to do in order to move your project forward? Try this exercise and notice if there were any changes in your mood and perspective.

In addition, Allen has identified a five stage method for managing workflow.

These are described as:

* Collect things that command our attention
* Process what they mean and what to do about them
* Organize the results
* Review as options for what we choose to
* Do

This way of looking at things seems reasonable and many of us probably do something which resembles this. However, difficulties arise if there is a breakdown in any of the stages and ultimately it leads to what we choose to do or not do.

Allen’s model for choosing actions in the moment include the following:

Context – Does it require a particular location (office, home) and what tools are required (computer, phone, etc.)

Time Available – When do you have to do something else? If you have a conference call in 15 minutes, then there many things you won’t be able to do.

Energy Available – Evaluate how much energy you have in the moment. Some tasks may require more physical energy, while others need creative energy

Priority – Given your context, time and energy what action will give you the biggest payoff? You are at your office and you have 30 minutes before a meeting and your energy level is low. View this as an opportunity to rely on your intuition to determine what to do next. Perhaps reading your emails or proofreading a report is the most you can manage.

We need to think about our work before we do it. Planning for it, as well as paying attention to what we are thinking and feeling leads to greater productivity with less effort. What better way to then have the time to do more of what we really enjoy!

Time is the most valuable but least controlled asset for any business organization. Time management training seeks to maximize the amount of work done for the limited time that is available for the enterprise. Every person in the office hierarchy would benefit from undergoing time management training. In return, one can expect that the person who received training would be able to manage their time properly and become a more productive individual in the workplace.

The fact is we cannot control time. Once the second ticks past, it cannot be brought back. We can only work within the constraints of time and it is in this context that time management training has its value. By training staff members to handle their respective workloads within the framework of time allowed, businesses can do more and gain more in the long run. To simplify, the aim of time management training is to exercise work teams to handle deadlines effectively towards a more productive business.

Time management does not only benefit the business. Those who take the time to train for time management also gains valuable insights into managing time effectively in relation to their personal and family lives. One can therefore find a balance in their work-life situations which in turn helps them to be more less stressed, stable and happy individuals.

Time Management for Businesses

The main complaint in a lot of office environments these days is the amount of backlog that may have accumulated with regards to the work of individual staff members. This is the tell-tale symptom that the worker has too much work than he can actually handle or that something is lacking in terms of the worker’s time management capabilities.

When left unchecked, you may not even notice it but these backlogs can become a huge burden for the entire business organization. That is why it is highly recommended to have every staff member, especially with new personnel as part of their orientation, to undergo at least some form of rudimentary time management training. With that in place, your staff will not have an excuse for having backlogs at work.

For management and top executives, time management training is all the more imperative as these are the positions that are usually the busiest in the company. Here, setting priorities and delegation play very important roles. When management are unavailable, aspects of the business may be overlooked which could be detrimental to its performance.

The Relevance of Training

The scope of time management encompasses everything about a business – from day to day operations, to holding of meetings, execution of projects to housekeeping activities. Everyone spends time at tasks and more often than not have deadlines to meet.

Hence, time management becomes relevant for everybody in the office. Time management training is a singular learning experience that is important for anyone who exchanges their time for producing other products or services that are of value to others. With this, it can be said that business and time management training are inseparable and should always go hand in hand to ensure success.

What are the 5 to 10 absolute necessary activities that you have to do to ensure your success and happiness?

Those are going to be your Power Time Management Irrefutables. You have to be serious and you have to be brutally honest with your self. Fudging this list is sabotaging all of the things you will be doing for the rest of your life. It will be like trying to run a marathon with the bear already on your back from mile One. Not a very promising start with 26.2 more miles to go. You want to work on this list and write down what is crucial, unavoidable and absolutely required for you to get where you want to go, when you want to get there, no screening, sorting or filtering of any kind. This is where the rubber meets the road and this is THE reality check of all reality checks. It is during this process that you want to get all of the bugs out of the ointment.

The purpose of you spending your time in this fashion is to eliminate the majority of angst that we all feel when we do not have a clear understanding of what we want and how we are trying to achieve it. Time spent here is well well worth the investment. How worth it is it? Of anything you can and will do over your life, this activity is in the top 3 of ANYTHING you can or will do to ensure your success, its that powerful.

Who

Anyone that is serious about being happy, successful and in charge. That sounds trite but it is true. Irrefutables, among many things, are about establishing personal standards. People who are successful are people who care about what they do. They care about what they are involved in and they especially care about what is associated with them. All of this leads to performing at a level that demands the best from themselves and, regardless of what is happening around them, they continue to strive to meet their personal standards even when those around them show little inclination to do the same.

When

No time like the present. There is no right time to start to care and start to do it right. Regardless of what level you are performing at now, the bar can always be raised, and then re-raised again. Creating your own Irrefutables is not a one-time activity. It is an ongoing process that will change as you and your circumstances change. Depending on what you do, your Irrefutables could change weekly; some other person’s Irrefutables will never change throughout their professional career. You could be a person who rises throughout a corporation moving between divisions, your Irrefutables will most likely change as often as you are promoted. You could be someone who starts, builds and grows the same business from the start to the end of your working life; your Irrefutables could very easily stay the same throughout this process.

Why

I have always considered a person less than successful if they do not maximize their full potential. Just because you are a millionaire does not make you successful if you wasted the opportunity to be a multi-millionaire because of a lack of effort or proper application on your part. You should want to use every tool available, every resource you can commandeer to maximize your potential and abilities. This one is one of the best tools available to you. It is a concept that you may not have been exposed to before, at least not in this fashion.

I usually don’t dwell on the negative but in this case I will at least broach it. Not setting standards for yourself, not establishing your own set of Irrefutables, will seriously undermine any attempt on your part to join the ranks of the happy, satisfied and accomplished.

Where

I did mention the 5 W’s and this is the last one. I stumped as to how to bring the Where in on this topic. I will gracefully admit defeat on this one.

When it comes to collecting and sorting information, managing tasks or collaborating with clients technology can be both a blessing and a curse: email, RSS feeds, blogs and newsletters, not to mention your favorite websites; document servers; and task managers are all useful tools but it’s rare that you have the time to really look through them all.

As result, you can often be behind the curve on news, project revisions, and grocery shopping.

I’ve collected a few of my favorite tools here to help you stay on top of things. They are all free, easy to setup, and will give you good information in a usable portions.

1. Google Reader: http://reader.google.com/

Google created this free tool that lets you aggregate news feeds (RSS/Atom), then sort filter, flag and share them without hassle. As you’d expect, you can search through the articles using Google’s technology: this is a great time saver because once you’ve done the search, you can subscribe to its feed. Basically, you get to automate sorting through ALL your news sources rather than have to pick through each one.

If you have a gmail account, then you already have a Reader account, but you can setup separate ones for work and personal news in a few minutes. To get the most out of this tool, you’ll need to spend 10-15 minutes copying and pasting the URLs of your favorite RSS feeds, but once they are setup, you will be happy you took the time.

2. Remember the Milk: http://www.rememberthemilk.com

This is a task management and scheduling tool. It has a premium version that will let you sync with your mobile devices, but the free version is powerful enough for most users (me included). This is especially helpful for freelance consultants and contractors that work with a number of clients: you can create individual lists of tasks for each client, set deadlines, estimate hours, add notes and tag tasks so similar activities are searchable. You can also share task lists online or print them out. The best features are the ability to email tasks to your lists and the reminders which you can receive by phone, email, text message or via chat.

3. Zoho: http://zoho.com

Zoho offers a full suite of productivity tools, all geared toward online collaboration.

There are paid options, but you can create anything from spreadsheets to wikis for nothing. It also has a cool app call Zoho Show which lets you do online presentations – great for sales calls. Once you are setup, you will also have the ability to share documents and work on them in real-time with your colleagues. This feature plus built-in chat makes dealing with multiple contributors a snap.

If you need more specialized tools for invoicing, CRM, or data management, then you can check out their business apps. I’m a big fan of Zoho Projects which is their online project management tool.

Conclusion

There are a lot of great tools out there. As an online consultant, I tend to get sucked into a new application every week, but the key thing is to make sure you have what you need for doing business efficiently. The three applications I’ve talked about above are geared toward getting you results and keeping your cost low. Big organizations often spend millions to get the same functionality and their solutions are not half as good. With these tools, you should have an easier time staying on top of developments in your industry, managing & prioritizing tasks, and collaborating on projects.
