time management techniques

What are the best time management techniques for too much work load?

Firstly, tell someone higher up in the management chain that you are overloaded (i.e. your teacher or boss). They may be able to help prioritize the work or take the pressure off by helping out.

Second, right a list of all the work to be done and the deadline for the work. This will help you focus on what needs to be done and get you thinking about part three.

Third, think about how long you realistically think it will take you to complete each item of work well (not just get it finished badly or incomplete).

Fourth, if it looks like you can’t finish any items of work by the deadlines then tell your manager or the person requesting the work (i.e. teacher, client) urgently. Explain that due to workload you can’t complete the work on time and give them a date you can. If they don’t allow an extension of time. Try getting an extension on a different item of work from a client/teacher. That’s the key juggling the work around so it can be completed in the minimum time to maximum quality.

Fifth, get going with the work. Try not to rush and not to feel the pressure of the deadlines. If you find you are getting stressed or rushing this could be counter productive and you will make mistakes. Take a break when feeling stressed. Work sensible times (not all night unless you are used to working this way and even then I don’t think it is a good idea). Get regular sleep (7-8 hours a day is good for me but some people need only 4 hours!!) and eat well. Sleep and healthy eating are important in coping with stress. Most people will work long hours, not have time to eat and eat unhealthy takeaways or not at all!

Sixth, have confidence in your ability to handle the workload. You will be surprised how well you can cope with stress for short periods of time. And you will learn a lot about yourself and how you handle stress once the work is finished.

But most importantly don’t let it get on top of you. You must talk to your manager or teacher if the work load is too much and you aren’t coping. If you are the manager or teacher with no one to go too then I am assuming you have been through this all before and so you know the techniques best suited to you to get through it.

No piece or work is worth getting too stressed and ill over, so look after yourself and good luck.

A successful venture at work does not just mean that you know your job well, or that you execute your projects efficiently. It also means that you get your work done on schedule and here is where time management comes in.

When you have a job that keeps you busy, you concentrate so much on what your major task is that you sometimes miss out on the smaller tasks. To make things worse, your stress level goes up and you feel totally fagged out at the very thought of managing all this work. You may have two or three major tasks to complete in a short deadline, and this can literally drive one insane. To better manage these issues you need to learn to manage your time. Make a list of the most important tasks at hand, and put them down on paper. Once you do this you get a clear picture of the tasks you need to attend to first.

Imagine you had to download a huge file for your work, and you also have a meeting to attend to in five minutes. If you are smart, what you will do is begin the download and then go for the meeting so that it is done at least in part before you return. This way you avoid time sitting around waiting for the file to download. That’s an example of time management for you. Similarly, if you were to make presentations at a meeting tomorrow as well as at a meeting today, you need to work on the latter first right? It doesn’t take one to be a rocket scientist to figure this out, but just telling your self these things from time to time keeps that frustration at bay. So there is an order of importance that you need to work with to complete your tasks efficiently and on schedule.

The time management system is applicable at any given field of work, so do not worry thinking it may not suit your needs. In any field of work we have assigned goals that we need to finish in certain time frames. Just get the goals and time frames written on paper, or keep them in your mind if there are not too many of them to handle. Just start with the most important bearing time in mind, and you are on your way to better managing your time. Not only will organizing your work like this help you to work better, you will also get relief from the stress that bad time management can give you.

Lastly, you have to get used to not putting off things to later. Get the job done first, and then enjoy the extra free time you have without feelings of guilt that you aren’t working.

“We never seem to have enough time to get everything done.  I think we need some time management tips. How can we find more time? “Can you come and do a workshop for us?’ asked a Manager responsible for training in a multinational, in a recent request.”No problem – when would you like to schedule it?” I replied.  
“I’ll have to get back to you.  We are thinking about it, but we’re looking in about 3 months time because we’ve got so much to do at the moment”
 Well, there’s a bit of a surprise!  Um…I wonder why they need time management training!  Well probably time and priority management might be more helpful.
 For those of us who need more urgency, here are a few things you can do.  Firstly let’s see what tasks are urgent and which ones are important.  Put these in order and place a time value on each of these: a specific time and date that you decide to use would help.

 The next thing to do is analyse your skills, diagnostic, decision making (and procrastination) and time management skills.  What are these?
 Diagnostic skills involve your ability, as a manager, to identify a situation and formulate an effective response.
 
This is something you most likely deal with on a daily basis. 
 You must be familiar enough with the inner workings of your operation to recognise immediately when something goes wrong. 
 It is this quick reaction that will lead you to successful resolution.
 Decision-making skills are just as important as diagnostic skills. Once you’ve identified a problem you must have the ability to weight your options and make an informed decision.
 
Too many managers find themselves faced with a handful of options, only to fumble with insecurity when it comes time to make a final choice. Everyone makes mistakes once in a while. Occasional mistakes are acceptable if you regularly make good decisions. You are, after all, only human.
 
Time management skills are the one thing I find to be
absolutely essential to the inner workings of any good
organisation, leadership or management training program, or individual
business manager. Can you walk into your office any given
morning, or at the beginning of any week, and quickly
identify what needs to be done? Are you able to place
the tasks you need to accomplish in a properly prioritised
order?
 
The art of time management includes not only scheduling your own work, but also knowing, what is urgent, important and when you need to begin delegating to others. You have a team for a reason and should never be afraid to assert your authority and assign additional tasks if needed. If you don’t feel as though you can delegate to your team, it’s time to assess whether or not you have the right team.
 
Effective time management means that everything is prioritised so that each task is completed on time and nothing is overlooked. You have a complicated job, so you should strive daily to keep it as simple as possible.

 

Probably the most important factor is when you decide on what needs to be done, do it now!   Go on, have a try!  You’ll be surprised how much time you save.
