time management problem

A common question asked by most managers at some moment in their lives is “Where did my time went?” Whatever they have done to plan it, was for nothing, the time has run away, unspoiled and unused. What could we do to avoid such situations in the future?

First, don’t worry too much, we are supposed to waste time, at least occasionally. Doing otherwise would surely lead to mental disorders! However, if the problem persists, you may want to amend it. Here’s what you should do:

Plan ahead of your current needs

Planning ahead is a must if you are to use up the time you have effectively. As we plan ahead, we may set the important goals and precise the time when they should happen. The point is to choose the right goals and the good time frame. If we set unrealistic goals, we will end on a couch and wondering where the time we had went. However, if we start from minor goals and only later go for big ones, achieving the long-term big goals will be only a matter of time.

You might not accept it, but we all make mistakes. The problem is only with that relatively few people remember to learn from them. When your plan is already in action, and you’ve just found a problem, start from moving back and assessing what and why has got wrong. As soon as you identify it, simply change your original plan to accommodate for the changes. The worst thing you can do after you let some time pass unproductively is sitting and wasting more time wondering where the time has gone. Do not look back: you can’t do a thing about it. Concentrate on now and the future.

The mistake may happen to everyone. Make sure you’ll profit from it, not lose. Time should be kept not as an enemy, but as a companion towards your destined paths.

There’s a time for love and romance, for jubilation, and for sorrow. Theres a time to relax, and a time to catch up with the running moments. But what is important is to be in control of time, no matter how pressured or tight any situation might be.

We have different perceptions regarding this temporal aspect we call time. But in the end, what is important is to be on time for everything, under the natural conditions of things, on a normal flow of moments.

Communication lines worldwide are vast and interrelated. Roads and transportation system create dizzying paths and passageways. More so, data are overflowing and overwhelming, drowning us with limitless ideas and knowledge. Likewise, we have to be equipped with the right information and updated with the critical intelligence to get into where we must go, wasting no time at all.

We should lead our lives with ways to manage our resources, energy, and time efficiently.

I don’t have time for this; I don’t have time for that; I am running out of time; I should have done that before dead line. These are some of the examples of some common sentences which we use and listen usually in our daily life. So here arises a question that why every human being finds it self always in a shortage of time?

The answer to the above question is so simple; these kinds of situations arise in our daily life because we do not care about time management. Though the topic itself is very vast but I will try to cover up most of the major aspects of time management in this article.

Time management is so important that one cannot ignore its importance in his/her life. If we look at the profile of top hundred most successful persons and if we look in detail in their biographies then we come to know that they all have one thing in common and that is best time management. They know the art of managing time for their daily work. So if one wants to be a successful person then he or she has to manage time, as it is so important.

Importance of time management covers all the topics like importance of time management for students; importance of time management for workers; importance of time management for managers; importance of time management for a family; importance of time management for teachers. I used the word human being so that it covers every living personality on the glob and one can enhance his management skills through free time management tips.

For instance just have a look on the life of a failing student. When we observe in detail his or her life style then we come to know that besides other reasons for his failure, poor time management is major factor for the failures in his life. Like he never care for his assignment deadlines and one more interesting thing that he always appear late for his lectures. It is the kind of students who always start preparation for exams a day before the exams and the result always is bad.

It is just an example and one can find a lot, mismanagement of time in one’s own life and in the surroundings. Now the advancement in technology has really made easy to come closer to perfection and one can improve his time management skills through online time management tutorials.

So the conclusion of all of the above discussion is that if one wants to live a calm and successful life then he or she must have to give a big consideration to the importance of time management.

time management resources

As a Life Coach, and after coaching many clients, I have found
that to effectively manage time, we need to first realise that
time itself cannot be managed! We all get seven days a week and
168 hours within those seven days. This cannot be increased or
changed in any way. However, what we can change, improve and
manage is ourselves. In essence then, true time management now
becomes management of ourselves – “self management!”

So being aware of this, we now know that it’s not the amount of
time we have that’s important; it’s how effectively we use that
time that makes the difference. Successful people have exactly
the same amount of time in the day as each of us. The only
difference is they use their time differently – more effectively.

You might say “I don’t have the time to commit to learning some
time management skills”. I get this all the time during life
coaching sessions, but the fact is if this were true, do you
really think you have the time not to?

Time management principles and techniques are usually quite
simple to learn. They do not require deep thinking, a high I.Q
or lots of preparation. In fact if you were to put the search
term “Time Management Resources” into a search engine you will
get dozens of websites offering help, advice, tips and
suggestions on how to manage and prioritise your time.

To sum time management up I would say you need to ask yourself
two questions:

1. Do I physically have enough time to do the tasks that are
required of me? We only have so much time. Sometimes it’s not
always physically possible to fit everything in. If this is the
case then you need to prioritise and drop some of the low
priority task/activities to claim some time back.

2. Do I fully optimise and use my time effectively? If the
answer is NO then you might want to learn and implement some
time management principles and techniques.

Below is a list of some time management (self management)
techniques and tips that work for to me. You may find a couple
of them helpful yourself. They are in no particular order.

• Figure out when (what time of the day?) you work most
efficiently.

• Establish your priorities for what you want to get done.
Identify the tasks and activities that are the highest priority
and eliminate those of low priority.

• Allow more time than you think you will need. This makes your
schedule flexible and allows for the unexpected.

• Get into the habit of using your odd five minutes here and
there more productively. Don’t just dismiss it as only five
minutes – they add up throughout the week!

• Accomplish one or two important tasks rather than lots
unimportant ones.

• Keep a calendar/diary. Mark all your important dates/tasks.

• Keep a list of “Things to Do” and mark them off as completed.

• Every day make a list of what you have to do tomorrow.

• When possible do the unpleasant tasks first.

• Tidiness makes your life easier and reduces stress.

• Allow time to relax, recharge and do nothing.

• Leave time in your schedule for un-planned activities. • Know
your strengths, skills and weakness.

• Ask yourself, “What am I doing that someone else could do for
me?” Delegate!

• Don’t be scared to ask for help

• Bin things straight away to reduce the clutter (junk mail,
newspapers and spam email etc).

• Divide large overwhelming tasks into smaller chunks, and
attack them one at a time.

• Complete at least one task each day that you don’t like to do,
but know you should.

• Realise that all your email checking, surfing the internet and
other procrastinations add up to hours of lost time each week
(sometime even each day!)

• Watch less T.V. If you watch T.V for three hours a day from
the age of five years old, by the time you are fifty five the
amount of T.V you will have watched will be the equivalent to
watching non-stop 24 hours a day for six years and three months.
If you cut this down by just one hour a day, so then only watch
two hours of T.V, you will have gained back over two years worth
of time.

Time Management is one of the important and most powerful tool that a successful man always carries. Effective time management involves patience and practical thinking. It’s really difficult to manage time. But once you know the secret it will be much easier. When you decide and get right down to it, it becomes much easier. Time management is really about managing your actions. We all want to maintain the process of time management to allow us to perform more actions in the day, getting everything done that needs to be done and giving us time to do the things we enjoy doing. But time management may be called a magical remedy for getting the actions done that you need to do.

Truly speaking time management is not a new concept. From the ancient times, it has been carried on. Time cannot be managed automatically but one needs to manage time. So really time management is self-management, so start by identifying your time wasters.

We all know that there are many things that distracts our attention and wastes our time. For e.g., a telephone interrupts our work, visitors divert our attention, stress, fatigue, procrastination, poor planning, unclear objectives, and disorganization all are time wasters.

The best way to manage time is to carve more hours out of a day and take control of the schedules, organize it better and you will find time is automatically managed. It is seen that if you organize your schedule your task doubles. In achieving a desired goal, a positive outlook is required. You must be excited with the challenges and tasks that you have to do to give you the right start or motivation.

One of the chief reasons why we manage our time is because we have a goal or destination in our life which must be achieved in a specific time. Without results or goals, there would be no need to manage or even care about time. In this fast competitive world one needs to value time orelse he will loose the competition. Though it was quite possible quite a few days back that we could live each day moment to moment, not worrying about the passage of time. Unfortunately, today’s world demands that we make the most of each minute.

Management is one of the most sort skills in today’s world. Time management skills are your abilities to recognize and solve personal time management problems. The goal of these time management lessons is to show you what you can do to improve those skills.

Always remember that with proper time management skills you are in control of your schedule and your life, and reduce your stress and energy levels. You make progress at work. You are able to maintain balance between your work, personal, and family lives. You have enough flexibility to respond to surprises or new opportunities.

1. Prioritize your activities

If you knew that most of your profits came from 5 or 6 activities and you were handed 30 different activities, wouldn’t it make all the sense in the world to first pick the 5-6 activities and pay attention to them?

Of course it does! And, that’s what effective time management is about. It’s about knowing what must be done and doing it and knowing what can be left off so you can focus more of your attention and energy on the things that matter the most and bring you the most important results.

2. Take Good Breaks

Contrary to popular belief, the most productive individuals aren’t the ones who can sit in front of their computer all day and work. The most productive individuals know their priorities, get them done with great efficiency and also take relaxing breaks.

These relaxing breaks do much more than just connecting with the family (which is of course highly important), the breaks also help you recharge, de-stress and get ready for another action packed day.

Know when and how to relax, it will boost your productivity higher than anything else!

3. Keep a time log

Not everybody keeps a time log and you may argue that some of the people who manage their time most efficiently don’t spend time on a time log. I have to agree with you. But, here’s one reason why you must absolutely keep a time log (at least for a few days)..

Keeping a time log helps you identify the times of the day when you’re most productive. That’s an important piece of data to have, wouldn’t you agree?

Once you have your time log, look for the time spots when you’re “in the zone” and creating the most results. These are most likely your natural productivity points.

Now, start using your natural productivity points for the maximum results!
