Do you create effective to-do list? It is sad to note that many of us do not create any to-do list before start our works. To-do list is one of the key planning tools in time management which a lot of people overlook.

Below are some of the reasons why people choose not to create their to-do list.

1. Procrastination

Some of these people have tried to make a list but due to their procrastination habit, things keep putting off. Even, if they have created their own list, the top item will be how to motivate them to do to-do list.

2. Past failure

Due to their past failure to complete the task on the list, they have stopped working on the list. Either the list is unrealistic or no commitment from them.

3. Overwhelm with the list

They have too many items in the list, too little time and feel overwhelm with the long list. Those uncompleted items will be carried forward to next days and the list keeps growing until a stage where it is too long and unmanageable. This is the time where they give up.

4. Laziness

Some of these people have created the to-do list before but due to their laziness to refer to it, the to-do list becomes useless tool to them. Besides that, some prefer to enjoy their life rather than committed to the list.

5. Trust their Memory

Some of them prefer to rely on their memory to do their virtual to-do list instead of writing down. This create overload problem in their head or forget something as our memory has certain limitation and subject to interruption.

6. Avoidance

They choose to avoid the tasks by not thinking on them. Therefore, without the list, no commitment is required.

7. Depress

Feeling depress whenever been reminded on tasks, particularly when there is a lot list tasks or activities.

Building an effective To Do List is a must if we want to improve our time management skill. According to time management expert, you can increase your productivity by 25 percent on the first day that you work based on the list. Based on the reasons presented above, below are some techniques to build a better To Do List

1. Written To-Do List

The truth is you cannot rely on your memory alone to store and track all the tasks as our memory has certain limitations. This will create overloading and stress into your life. Therefore, we need to write them down, either on paper or any electronic organizers. In fact writing will sharpen your thinking, stimulate your creativity and focus far better than thinking out from your mind.

2. Capture all your To-Do in one place

A lot of people just simply jot down their to-dos in a variety of places; papers, envelopes, computer, organizer, napkins. You only can plan your tasks properly only if you have everything written down in one reliable place. Be honest and as thorough as possible so that you do not have to worry that you have forgotten any later.

3. Master To-Do List and Daily To-Do List

Create two types of to-do list, master to-do list and daily to-do list. Master to-do list is for you to list down whatever things that you can think off right now or new tasks in future. It basically serves as repository of tasks. Every night, go through the master to-do list and transfer those tasks that you planned to do tomorrow into a daily to-do list. Prioritize the daily to-do list according to ABCD prioritization method. Set the time frame for each task

4. Break the tasks

By breaking down the tasks into smaller parts, sufficient for Next Action, you can reduce the effect of overwhelm of any big projects. (Next Action is a term used by David Allen, Getting Things Done, which defines the next physical, visible activity that needs to be engaged in, in order to move the current reality toward completion). It is easier to focus on smaller parts of activities and at the same in alignment with your objectives.

5. Specify with physical activity

Visualize how you are going to work on it and with the any tools or equipments to complete the task.

6. Be more specific

Phrase your task with verb, noun and object. Instead of “schedule a meetingâ€, phrase it as “schedule a staff meeting on next Monday, 9 am, to discuss on project Aâ€.

7. Am I the best person to perform this job?

Always ask yourself am I the best person to perform this job. If not, delegate the job to someone else. This is to ensure you are making the best use of your time at all time.

8. Commitment

Once the task is in your list, you need to be committed to complete it. Treat it as a contract that you have signed and penalty will be imposed for failure to complete the job on time. If you cannot commit it, do not place the item in your to do list.

The most important is you need to practice work on the to-do list until it become a habit. Once you have mastered it, you will become more productive and efficient whenever you use it.

Emotional problems and unresolved issues lead to anger and bouts of rage that are uncontrollabe in nature that can adversely affect a person’s mental health and this is why it is important to address and solve these at the earliest, though it is a long and ardurous challenge. Time managements are one of the most important techniques that everyone needs to learn. This is a technique used by many people to facilitate better management of time. Activities are done in an organized manner. With the use of time management, these nursing students will be given the chance to perform other useful activities other than the nursing course itself.

These are the suggested techniques that should be followed by the student nurses to manage time in a systematize manner.

First thing to do is to organize all the activities to do. Make a checklist of the tasks with proper prioritization. After the end of the day, check off the completed or accomplished tasks. This is a great help in the identification of the tasks not yet done over a day.

Begin to focus on the activities giving less priority to the things you do not need to do. Before venturing in to the activities that are not included in the list, your priority tasks must be done first. Avoid interruptions such as chatting with classmates and doing unnecessary activities. You can entertain these activities after your tasks are done.

Avoid the activities that will suck all your time. There are many activities that needs so much attention but with less productive outcome. Things like watching televisions, sending emails, chat on internet and telephone conversations are just some of the less important things you need to do for a day. Never give so much time on these activities.

With proper time management, student nurses will be able to do other activities that also enhance their personality. Things like dealing with other people and establishing rapport during meeting other people.

It is also healthy that people like student nurses give themselves a break from all of their activities for the day. This will be a great help to manage the precious time.

Do you know the famous best-seller Getting Things Done, more know as GTD ? Let’s get right to the point: the GTD method is famous in the United States, it’s a best seller and features in numerous web-based resources, whether in the form of articles to help you get things done, or software to go with it (there are over hundred, for all platforms, and many are free!)

What this book teach us ? Basically, that to be efficient, your mind must be crystal clear, like spring water; to get to that point you need to get rid of all the parasitic thoughts that permanently distract you, which you can accomplish by putting everything that you want to, or must do into an external automated system, thus relieving your brain of the need to think – which it does badly, without directed prioritization and without consciously choosing the right moment.

The author, David Allen, is a business management and productivity consultant since the early eighties, and he begins by telling that the world of work has evolved and that managers have to multi-task more often to get several things done at once, and even if they could dedicate their whole life to it, they would not have enough time to do things. What’s more, a lot of organizations have had their internal boundaries eroded, and their effectiveness rest on endless collaboration and communications using different services – and you can no longer avoid any of the many mail services in use. Executives therefore generally need to multitask more than before. This evolution by organizations must necessarily come with new tools and new work approaches.

Si imagine if you could choose to focus entirely on your tasks, without any interruptions, daydreams, parasitic thoughts, and other sources of distraction, while remaining alert and in full possession of your faculties. Sound like a dream? It’s possible. David Allen recommends with his method something that martial arts practitioners call “mind like water,” or athletes call “in the zone”, a state of mind that is free from worry and totally focused on the goal you want to reach. You have no doubt already experienced it from time to time. Were you able to perform better, feel more satisfied with yourself and your accomplishments in that moment? The autor recommends a system to make those moments the default behavior.

How ? Basically, it is with the help of writing, but not writing on a lot of small pieces of paper you could not trust, but in a very reliable system that you can trust, so your mind don’t have to bother with all the stuff you have to do and can be calm and focused. Your mind will be then like water.

GTD isn’t really easy to fully handle, but you can start slowly, and slowly build your mastering of these techniques. It is a lot of work, but you will be rewarded with a really great productivity boost, and you will achieve a so powerful peace of mind that it will make you calm and peaceful even in the most awful moments of work stress !

Forget about inspiration. You don’t need inspiration to write. Have you ever had a job? You didn’t wait for inspiration before you drove to work, did you? Of course not, that’s a certain ticket to complete and prolonged unemployment. Inspiration is a losing strategy. Don’t use it for your writing.

Make your habits work for you. Have you ever started driving and ended up heading toward your workplace without meaning to? Habits are powerful. Habits allow you to do something with consciously deciding to do it; you do it on autopilot. You don’t want to have a decision to write every single day, so set up a habit. I write every evening when I come home from work. I don’t have to think, “Will I write today?†I just do it.

Use a timer. I decided to write every day after work for half an hour. Sometimes I’m tired – I often work twelve-hour days. When I’m tired I set a timer for 30 minutes. I write until the timer goes off, then I go to bed. If you feel scared or anxious about writing, the timer will help, too. When you’re scared of an activity, it’s good to know it’s not open-ended.

Forget about creating a “special†and “sacred†place to write. You don’t need it. You just need your brain and some sort of writing stick. You can write anywhere. Sure, set up a place where you’ll write as part of your routine, but don’t get sidetracked trying to add magic juju to the area. Cut the crap and write.

Know that writing is writing. It’s not researching, or thinking about writing, or reading books about writing, or promising yourself you’re going to write, or making excuses for not writing. It’s writing. Pen to paper, fingers to keyboard. Decide when and for how long you’ll do it every day, and do it.

Happily write crap. Don’t put off writing because you’re afraid golden prose won’t flow from your pen. Just write. It’s like anything, you’ll get better the more you do it. And you know your writing won’t really be crap, and that as good as it is, it will improve. In any case, it doesn’t have to be perfect, it just has to be done.

Forget about having a talent for writing. Do you have a talent for sticking with a plan? How about a talent for reading books and learning about a craft? A talent for training and learning and improving? Develop those talents and you’ll discover you’ve also got a talent for writing.

Hypnosis. Still having problems? Do you think your writer’s block has neurotic roots that you’ll have to work through before you’ll be able to write? Forget that. You can be neurotic and still write. Maybe it’ll even help. Quick solution: get hypnosis. Quick free solution: find a hypnosis school where you can be a guinea pig and get hypnotized in front of the class for free. ‘Worked for me.

The fool-proof method: And now the final, fool proof method for severely resistant cases of writer’s block. Set up an area where you would someday like to be writing. Set up the time when you want to be writing. Don’t be worried, you don’t have to write. Everything set up? Got the timer ready? Okay, now, every day, at the appointed hour and at the appointed place, read this article over and over until the timer goes off. Continue this routine until you prefer writing to rereading this article. Your writer’s block will probably fade forever before you get to the second paragraph.
