Time management training helps you to see how you use your time now. If you’re like most people you really don’t know how you are spending your time now. You let time slip away and at the end of the day you just don’t know where it went.

Taking one week and tracking how you really spend your time is an eye opening time management training technique. Most people find it very hard to do this, but they also find great value in the exercise. Track your time each day in 30 minute increments just noting how you are spending your time each interval. You have to do this as you go. Trying to write down how you spent each interval at the end of the day just won’t work. It doesn’t even work waiting a few hours. You simply won’t be able to recall how you really spent that time.

The value of this time management training technique comes from the big picture. At the end of the week group your activities into big categories like: phone calls, appointments, projects, etc. Then total up how much time was spent in each category. Most people are shocked to learn how much of their time is literally wasted on unimportant things.

The power of this time management training technique comes for taking what you know to create what you want. Now that you know how you are spending your time currently you can change your future by planning how you will use your time. Currently you plan your time for how things are and as long as you continue to do that things will remain unchanged for you. It can show you what needs to be done after your engagement, three months before your wedding, one month before, one week before and finally on the day itself. Project managers are often faced with the dilemma of managing their time. The influx of tasks to be done at the same time can be very distressing. Most of these tasks have the same level of priority which can make a project manager baffled on how and where to start.

Effective time management is the key to handling multiple tasks easily. This is a skill that every project managers should exercise at all times.

Time and Goal Awareness
First thing that a project manager should do is to be aware of his/her use of time. Being aware not only means knowing but also analyzing. Analyze how time is spent during the day at during the week. Find out if there is an emerging pattern. Find out how much time was spent doing the tasks needed to complete a project. List down each task and the time spent doing it. Then list down any patterns transpiring during the week. Check those tasks done in a week if it leads to completing project goals.

Planning Time to Meet Project Goals
Start planning time to meet project goals by eliminating tasks that can be delegated. Combine recurring tasks done everyday that can be done in a few hours a day. Tasks should be scheduled in chronological order in order to eliminate going back and forth doing it. Allot a day in a week to schedule meetings. Allot time for answering queries from members and colleagues and inform them about it. Allot a few hours of free time which serves as contingency. Allot time in a week for reviewing tasks completed and plan for the next week’s agenda.

Time management in the workplace is crucial in the success or failure of a project or a leader. Analyzing and planning time is just the beginning. A project manager should follow the plan and learn how to deal with tasks that is not on schedule. A project manager can use a project management software to schedule and manage his/her time.

As soon as the project manager has received his brief or project instructions, he must produce a document which distils what is generally a vast amount of information into a concise, informative and well-organized form that can be distributed to all members of the project team and indeed all the stakeholders in the project. This document is called a project management plan (PMP), but is also sometimes just called a project plan, or in some organizations a coordination procedure.

The PMP is one of the key documents required by the project manager and his/her team. It lists the phases and encapsulates all the main parameters, standards and requirements of the project in terms of time, cost and quality/performance by setting out the ‘Why’, ‘What’, ‘When’, ‘Who’, ‘Where’ and ‘How’ of the project. In some organizations the PMP also includes the ‘How much’, that is the cost of the project. There may, however, be good commercial reasons for restricting this information to key members of the project team.

The contents of a PMP vary depending on the type of project. While it can run to several volumes for a large petrochemical project, it need not be more than a slim binder for a small, unsophisticated project.

There are, however, a number of areas and aspects which should always feature in such a document. With the permission of the British Standards Institution, the main headings of what is termed the Model Project Plan are given below, but augmented and rearranged in the sections given above.

The numbering of the main headings should be standardized for all projects in the organization. In this way the reader will quickly learn to associate a clause number with a subject. This will not only enable him/her to find the required information quickly, but will also help the project manager when he/she has to write the PMP. The numbering system will in effect serve as a convenient checklist. If a particular item or heading is not required, it is best simply to enter ‘not applicable’ (or NA), leaving the standardized numbering system intact.

Apart from giving all the essential information about the project between two covers, for quick reference, the PMP serves another very useful function. In many organizations the scope, technical and contractual terms of the project are agreed in the initial stages by the proposals or sales department. It is only when the project becomes a reality that the project manager is appointed. By having to assimilate all these data and write such a PMP (usually within two weeks of the hand-over meeting), the project manager will inevitably obtain a thorough understanding of the project requirements as he/she digests the often voluminous documentation agreed with the client or sponsor.

Clearly not every project requires the exact breakdown given in this list and each organization can augment or expand this list to suit the project. If there are any subsequent changes, it is essential that the PMP is amended as soon as changes become apparent so that every member of the project team is immediately aware of the latest revision. These changes must be numbered on the amendment record at the front of the PMP and annotated on the relevant page and clause with the same amendment number or letter.

The contents of the project management plan are neatly summarized in the first verse of the little poem from the Elephant’s Child by Rudyard Kipling:

Time management is basically about being focused. The Pareto Principle also known as the ‘80:20 Rule’ states that 80% of efforts that are not time managed or unfocused generates only 20% of the desired output. However, 80% of the desired output can be generated using only 20% of a well time managed effort. Although the ratio ‘80:20′ is only arbitrary, it is used to put emphasis on how much is lost or how much can be gained with time management.

Some people view time management as a list of rules that involves scheduling of appointments, goal settings, thorough planning, creating things to do lists and prioritizing. These are the core basics of time management that should be understood to develop an efficient personal time management skill. These basic skills can be fine tuned further to include the finer points of each skill that can give you that extra reserve to make the results you desire.

But there is more skills involved in time management than the core basics. Skills such as decision making, inherent abilities such as emotional intelligence and critical thinking are also essential to your personal growth.

Personal time management involves everything you do. No matter how big and no matter how small, everything counts. Each bit of knowledge you acquire, each bit of advice you consider, each new skill you develop should be taken into consideration.

Having a balanced life-style should be the key result in having personal time management. This is the main aspect that many practitioners of personal time management fail to grasp.

Time management is about getting results, not about being busy.

The six areas that personal time management seeks to improve in anyone’s life are physical, intellectual, social, career, emotional and spiritual.

The physical aspect involves having a healthy body, less stress and fatigue.

The intellectual aspect involves learning and other mental growth activities.

The social aspect involves developing personal or intimate relations and being an active contributor to society.

Personal time management should not be so daunting a task. It is a very sensible and reasonable approach in solving problems big or small.

A great way of learning time management and improving your personal life is to follow several basic activities.

One of them is to review your goals whether it be immediate or long-term goals often.

A way to do this is to keep a list that is always accessible to you.

Always determine which task is necessary or not necessary in achieving your goals and which activities are helping you maintain a balanced life style.

Each and everyone of us has a peek time and a time when we slow down, these are our natural cycles. We should be able to tell when to do the difficult tasks when we are the sharpest.

Learning to say “No”. You actually see this advice often. Heed it even if it involves saying the word to family or friends.

Pat yourself at the back or just reward yourself in any manner for an effective time management result.

Try and get the cooperation from people around you who are actually benefiting from your efforts of time management.

Don’t procrastinate. Attend to necessary things immediately.

Have a positive attitude and set yourself up for success. But be realistic in your approach in achieving your goals.

When you hear the word “coach”, what comes first into your mind? Do you picture a basketball team with a man/woman shouting out directions? Or perhaps a football team with a man/woman pacing to and fro and calling out the names of the players?

Coaching is no longer reserved to sports teams; it is now one of the key concepts in leadership and management. Why is coaching popular?

Coaching levels the playing field.

Coaching is one of the six emotional leadership styles proposed by Daniel Goleman. Moreover, it is a behavior or role that leaders enforce in the context of situational leadership. As a leadership style, coaching is used when the members of a group or team are competent and motivated, but do not have an idea of the long-term goals of an organization. This involves two levels of coaching: team and individual. Team coaching makes members work together. In a group of individuals, not everyone may have nor share the same level of competence and commitment to a goal. A group may be a mix of highly competent and moderately competent members with varying levels of commitment. These differences can cause friction among the members. The coaching leader helps the members level their expectations. Also, the coaching leader manages differing perspectives so that the common goal succeeds over personal goals and interests. In a big organization, leaders need to align the staffs’ personal values and goals with that of the organization so that long-term directions can be pursued.

Coaching builds up confidence and competence.

Individual coaching is an example of situational leadership at work. It aims to mentor one-on-one building up the confidence of members by affirming good performance during regular feedbacks; and increase competence by helping the member assess his/her strengths and weaknesses towards career planning and professional development. Depending on the individual’s level of competence and commitment, a leader may exercise more coaching behavior for the less-experienced members. Usually, this happens in the case of new staffs. The direct supervisor gives more defined tasks and holds regular feedbacks for the new staff, and gradually lessens the amount of coaching, directing, and supporting roles to favor delegating as competence and confidence increase.

Excellence is a product of habitual good practice. The regularity of meetings and constructive feedback is important in establishing habits. Members catch the habit of constantly assessing themselves for their strengths and areas for improvement that they themselves perceive what knowledge, skills, and attitudes they need to acquire to attain team goals. In the process, they attain individually excellence as well. An example is in the case of a musical orchestra: each member plays a different instrument. In order to achieve harmony of music from the different instrument, members will polish their part in the piece, aside from practicing as an ensemble. Consequently, they improve individually as an instrument player.

Coaching develops high commitment to common goals.

A coaching leader balances the attainment of immediate targets with long-term goals towards the vision of an organization. As mentioned earlier, with the alignment of personal goals with organizational or team goals, personal interests are kept in check. By constantly communicating the vision through formal and informal conversations, the members are inspired and motivated. Setting short-term team goals aligned with organizational goals; and making an action plan to attain these goals can help sustain the increased motivation and commitment to common goals of the members.

Coaching produces valuable leaders.

Leadership by example is important in coaching. A coaching leader loses credibility when he/she cannot practice what he/she preaches. This means that a coaching leader should be well organized, highly competent is his/her field, communicates openly and encourages feedback, and has a clear idea of the organization’s vision-mission-goals. By vicarious and purposive learning, members catch the same good practices and attitudes from the coaching leader, turning them into coaching leaders themselves. If a member experiences good coaching, he/she is most likely to do the same things when entrusted with formal leadership roles.

Some words of caution though: coaching is just one of the styles of leadership. It can be done in combination with the other five emotional leadership styles depending on the profile of the emerging team. Moreover, coaching as a leadership style requires that you are physically, emotionally, and mentally fit most of the time since it involves two levels of coaching: individual and team. Your members expect you to be the last one to give up or bail out in any situation especially during times of crises. A coaching leader must be conscious that coaching entails investing time on each individual, and on the whole team. Moreover, that the responsibilities are greater since while you are coaching members, you are also developing future coaches as well.

Looking for recommendation on web based project management & collaboration for small business?

My company (35 employees in home office, with 10 employees scattered in 5 remote locations) is looking for a product/service that we can used in a web based environment to track important projects and collaborate on those projects. We could host the product on our own system or use a hosted package, either option is fine.

We do NOT want something over complicated, but we do want to be able to do file sharing, have threaded conversations, track to-dos & responsibilities, set & report on milestones, track whether or not key due dates are being met.

Managing the system should be relatively easy. I am the only IT person on staff and already have a full plate.

The traditional project manager role focused on the processes and tools needed to complete a project within a set budget and time frame. It no longer makes best business sense to develop a long-term plan and stick to it at all costs. Factors such as globalization, stricter accountability, employee development, change and risk management and unstable economic conditions all require that companies today have to be able to adapt quickly and to be flexible to succeed in tough economic times.

How does this impact on the project manager interview?

Project managers need to be flexible and adaptable. The change management process is essential to the success of a project.  Project manager interview questions will explore the ability of the candidate to quickly assess a new situation and adapt effectively to it. The project manager needs to fill the role of  coach, communicator and conflict and resistance manager with the team when change is introduced.

They need to be strategic thinkers who can successfully build strategies consistent with organizational beliefs, goals and plans.
