how to improve time management

Are you the person that can never get anything done? Do you feel like your work day is always moving faster than you can? Or are you the eternal procrastinator? Whatever the reason, there’s never seems to be enough time in the day to get everything done. But, here’s the good thing. There’s tons of things you can do to improve your efficiency and gain back some of that lost time. Let’s take a look at eight solid things you can do today to improve your work and time efficiency.

Just like they say at AA, the first step is to acknowledge that you have a problem. So, knowing that you have a time management problem and accepting it is the first step to improving it. So stop denying it and accept it.

The second step is to decide. You need to decide that you’re going to do something about your time management. You can know you have a problem, and you can acknowledge that you have a problem, but until you decide that you’re going to do something about it nothing else matters. Once you decide that you have a time management problem, you can move forward. Save yourself some goals that you can achieve. And in the same way that someone tries to lose weight, make sure the goals are actually achievable. Create some success but you can build on.

Number three, stick to your goals. The reason that you create a goal is so that you have something to hold yourself accountable to. If you can’t secure goals, and you’re not going to achieve anything. That’s why it’s so important to create goals that are achievable. Once you achieve those initial goals, you can raise the bar again and continue to strive to get better, and better. You also have to have a stick to it might set, you have to make sure you don’t give up.

The fourth step is to create daily task lists. Creating a to do list for yourself is an easy way to properly manage your time. In fact, it is one of the easiest approaches that you can take. Outline what you need to do throughout the day. Be sure to list your tasks in order of importance. Every time you accomplish something, cross it off of the task list. Not only will this give you a sense of accomplishment, but you can see how you’re getting things done during the day. At the end of the day create the new list for the next day. At the end of the week, create the new list for the next week.

Use time management tools. Properly managing your time is important, but it can be hard for many individuals to get use to, especially right away. If you are one of those individuals, you will want to consider using time management tools to your advantage. But make sure that the time management tools don’t become time wasters. Your PDA, or your scheduler, should be used quickly and efficiently. Don’t spend minutes and hours just messing around and tooling with it.

Learn to say no. In all honesty, there are times where you may not be able to refuse a project at work or a task at home, but try to not take on more than you can accomplish. If you must, look into using outside help. In the home, this outside help can come from a housecleaner. At the workplace, this outside help can come from a coworker. Remember, there is a nice way and a rude way to say no. But at the end of the day if you are the one that says yes all the time, you never get anything done for yourself.

Get organized. Organization is key to being able to properly manage your time. If you are unorganized, you are likely to waste a large amount of time. For example, in the workplace you can waste time by searching for lost or misplaced documents. The same can be said for the home; if you are unorganized, you can spend hours searching for your glasses or car keys. Look at your desk, lift your computer, and ligature filing system. If things are all over the place, you will have a hard time finding them and you will waste time. Take a few minutes at the end of every day to put things back where they belong to you can start your next day fresh.

Get a coach. Or get help. If you have that much to do, and you’re super busy, it may make sense to hire someone to help keep you organized like an assistant, or if you’re just having a really hard time keeping to your plan, a coach can help keep you accountable.

Put all of these steps to work and you are sure to see success! Remember, you only have 24 hours in the day so make use of every single minute wisely.

I went for that seminar too, the one where some guy bounces around preaching that the only way to become successful like him is to have a near-impossible dream and to work towards it vigorously by following a rigid daily time schedule. They call it time management. There’s only one problem – it didn’t work – for me at least.

Get up at 8.00am, have breakfast at 8.30, do this at 9.00 and do that at 11.45. Repeat every day. I tried so many times but it all ends after I’ve created a beautiful schedule and pinned it on my home office notice board. After two days it sort of blends into the board and I don’t see it anymore.

Has that ever happened to you?

Here’s a better way to develop a workable 3-step time management plan that makes sense, especially if you’re not too fond of routines or have a short attention span:

1) Sanctify Your Most Productive Hours

In my first few months a full-time writer and entrepreneur, I tried to get up early and go to bed early. After some time I realized the truth – I’m really not a morning person! I discovered that my most productive hour is between 11.00pm to 2.00am. That’s when my juices really start to flow and my mechanical brain shifts into high gear.

It’s during these few hours that I produce my best writing, brainstorm my most ingenious ideas, and create my most beautiful designs. These few sacred hours are when you analyze your competition, create your strategies, and mould your game plan. It’s the few precious minutes when you push yourself to think out of the box and go beyond what you think you’re capable of.

Identifying your Most Productive Hour in the key to this “flexible” time management plan. When you know where it lies, you can exploit it to the max and produce better work that you ever did before.

2) Respect Your Revenue-Generating Hour

It’s easy to get tied up doing things that are not important. If you’re an entrepreneur, the most important thing is this: making money. Do at least one Revenue-Generating Hour every day. During this hour you ONLY do things that make you money. If you’re a writer, write. If you’re a designer, design. If you’re a marketer, make the deal-clinching call or follow-up with yesterday’s hot prospect.

No checking website stats, no chatting, no answering calls and no replying emails. Those do not make money for you.

If you can, isolate yourself from all other distractions and lock yourself in a “money-machine” mode. Time yourself using a countdown timer just to put some pressure on yourself to do things fast. I leant this from Alex Mandossian, and I’ve been applying it religiously. If you can do one hour (it’s not as easy as it sounds) then go for two or three.

Your Revenue-Generating Hour can fall in your most productive hour, but sometimes it won’t if your hours are as odd as mine, or if you need to contact people during regular working hours. You’ll have to do it anyways, and when you’re done with an hour (I do 55 minutes) stop everything and take a breather. Do something else. Make yourself a drink or collect your laundry.

You’ll find that if you can do two or three hours you’ll feel a sense of closure and achievement. All you really need in a workable time management plan is three good hours a day. The corporate time-schedule of working 9 – 5 is nonsense.

3) Reserve Your Learning and Growth Hours

Set aside an hour a day to read the news or your favorite magazine subscription just to keep updated on your industry or area of expertise. Set aside at least one hour on weekends to learn something new. Learn a new skill, or improve on existing ones.

In life you’re either moving forward or slipping backwards. Learning helps you prepare for what tomorrow brings, and ensure that you’re never outdated. Corporations spend millions on training and development, for a good reason – yesterday’s genius is tomorrow’s fool.

There it is; a simple 3-step time management plan that you actually do. It doesn’t sound as scary as developing a “time prison” and following in to the minute, does it? And yet this is the only time management plan you really need to keep yourself on track to achieving better personal growth, better business results, shaper skills and wider knowledge.

And it leaves plenty of time for family and having fun, too. Who needs a $1,200 time management seminar anyways?

With the distractions of this modern life, studying can become a nightmare as assignments pile, perhaps you miss a class or two and then you are behind everyone and it all looks so hard! You need some student time management tips to help you sort out this mess and still live a full life!

“It is all too much!”

You stare at the list of things you have to do and despair as deadlines approach and nothing seems to get done in time. The first thing you have to do is stop despairing and start doing! However don’t go into it blind or you will end up without a clear goal and plan. First of all let’s make that enormous pile of work into a heap of smaller “tasks” that each on their own are manageable. This does not reduce the work in total but it is your first step to good time management.

“So many little tasks!”

Ok, so now you have a heap of small things that need to be done, some of them are easy and some are not, some might be interesting and some might be so boring they put you to sleep but this is important to note. Get all the boring, difficult and unpleasant tasks and schedule them to be done first! Don’t put them off do not do them later or later never comes! This does not mean you have to do boring task after boring task however.

“I Hate Doing This stuff!”

As much as you hate doing the boring stuff they need to be done, but you do not need to do them sequentially. Instead schedule your day into chunks of time which you allocate tasks to do. This means you can put some boring stuff in followed by something more interesting so you do not get bogged down in one thing you hate and give up. IF you have not completed a task by the time you need to start another one reschedule it for the next day to finish, starting something new can give you more energy and invigorate your mind rather than bore it to death.

These student time management tips are just a starting point but should help you to learn to prioritize, organize and sustain good study habits that will allow you to free up more time for other interests and in the future long lasting success!

Project management is simply managing

• what has to be done;

• when it needs to be done by;

• within certain cost constraints.

Did you know that a lot of what we do in our everyday lives is very similar to project management?

Can you answer YES to any of these questions:

• have you arranged a holiday?

• have you hosted a dinner party?

• have you built or purchased a house or done renovations to your home?

• have you organised a surprise party for someone?

• have you arranged a picnic with a group of friends

All of the tasks listed above require you to use project management skills. You need to work out what you want to achieve, put together a plan of how you’re going to achieve it, work out whose help you need to pull it off, and you set a budget.

For a holiday – you might delegate a lot of this work to your travel agent, and similarly to your Builder for building a house. But for things like organising a surprise party, you need to:

• work out who’s invited

• select a time and location

• send out the invitations

• organise catering (or bring a plate)

• arrange music

• organise where everyone will park to keep the party a surprise

• work out a cover story for the guest of honour

If you think that doesn’t take project management skills – think again!

And do you know what skill I think is the most critical? Common sense (or pragmatism).

If I had a dollar for every Project Manager who “talks the talk” at the start of a project, I’d be a very rich woman. And if I had a dollar for every Project Manager who successfully delivers what they set out to (who “walks the walk”), I’d be a very poor woman. And why is that? Because most people get lazy and take their eye off the ball.

It’s easy to start a project, create a nice looking Project Management Plan, and set up lots of important meetings. But when things start to go wrong, many people go to pieces, overreact, or focus on the really non important stuff (like whether their status report makes them look bad).

Common sense, especially when it comes to being able to prioritise effectively, and knowing when to compromise, is a key skill for a project manager. I’d take this over a university degree any day!

Give me someone who can sort the wheat from the chaff; who knows not to sweat the small stuff; who knows when they can afford to compromise and when not to, rather than standing their ground just for the sake of it.

A number of years ago there was a list taken from the book of lists that stated that Presentation skills and speaking to a large audience was the number 1 fear people had.

In fact 41% of people rated it as their biggest fear.

The strange thing about the list was that only 19% of people said death was their biggest fear. It is amazing to think that standing up and delivering a presentation to a group of people rated a higher fear than death.

The good news is that through presentation skills training you can alleviate that fear. Of course it’s true to say that you may still be anxious and get butterflies in your stomach before the presentation, but through good presentation skills training at least you will be able to make the butterflies fly in the same formation.

So how can presentation skills training help you? Well obviously every good presentation skills training programme will have a section dedicated to anxiety and nerves and offer specific techniques to help you deal with this. But there is more to it than that, the more confidence you have in your presentation style, notes, visual aids, structure of the presentation, knowledge of the audience, knowledge of the topic and knowledge of what you are trying to achieve, the more at ease you will feel.

Most presentation skills training programmes also allow time to deliver the presentations in a safe environment and receive feedback from a qualified instructor, this allows you to work on areas that need to be worked on, and many presentation skills training programmes allow time for the instructor to work through these areas with you. The more confidence you have in the presentation and your own presentation skills and delivery the less fear you will have.

There is no substitute for practice and I am always reminded of the famous golfer (I believe it was Gary Player) who had just chipped in the ball from the edge of the green.

I believe he was interviewed after the game and the commentator said ‘You must have been thrilled with the luck you had on that final shot’ the golfer replied ‘yes I was, but it’s funny the more I practice that shot, the luckier I get with it’

I believe there is a lesson for us all to learn whether you are playing golf or using your presentation skills to address an audience, the more you practice the luckier you will get and the luckier you get the less anxious you will be

How often do you feel that 24 hours a day is no longer enough for you to finish up your chores? The clock is ticking at the usual pace but you still have loads of jobs waiting on your desk.

Hiring successful sales people and sales managers requires a scientific process, not a resume and interview ritual.  You’ve probably been fooled many times from a great impression at the interview, and then the person didn’t cut it.  S/he either quit, got fired or worse yet, s/he is still with you under producing.  Well these mistakes can be avoided, along with all the lost customers and associated expenses for training, salary, etc., by using my recruiting process.

 

The Science of Sales Person Selection

 

There are certain elements present and/or absent and/or mixed in proportions that determine selling and sales management success.  (See the White Paper described at the end of this article).  So in order to hire super sales people companies must:  Measure the amounts of each element; determine what mixes and what doesn’t; decide what can be changed or improved in the time allotted to change it; analyze findings; Interview candidates that tested positive and make your selection. 

 

This science is 96% accurate for selecting successful sales people for any industry.  That’s better than 9 super sales people for every 10 you choose.  Selling success means the person is an over-achiever and/or a top producer on your selling team.    Think of all the sales people you’ve hired and determine how many of them stayed with you and turned out to be top producers.

 

Selling Success Is Not a Personality Score

 

These elements are not to be confused with personality traits that are described and measured using a variety of personality tests – Meyers Briggs, DISC, etc.  These tests (although valuable for certain things) describe behavioral traits, but do not indicate (1) if a person can sell, (2) if a person wants to sell, (3) if a person has the skills to sell, and (4) if a person can sell for your company.  Now if you’re a CEO or sales manager in-need of someone to fill a selling void or generate needed sales, you’d like to know your selection has 1, 2, 3 and 4 and can hit the road running.

 

The Selling Success Elements

 

There are 4 critical strengths required for selling success – desire, commitment, outlook and accountability.  Commitment and desire are mandatory.  Outlook can be changed and accountability is manageable.

 

There are 5 weaknesses that everyone has.  The amounts and combination of these weaknesses will determine the overall effectiveness of the person.  That is; if someone is really flush with desire, commitment, outlook and accountability, but is encumbered with some or all of the weaknesses, his or her selling effectiveness will diminish proportionally.  The weaknesses relate to money sensitivity, need for approval, self image, personal buying traits, and emotional involvement.

 

Next are selling skills and a selling process that are more comprehensive than showing-up, presenting and expecting a purchase.  These include, getting to the right people, effective interviewing, fitting solutions to defined problems better than alternatives, securing commitment, managing accounts, prospecting, networking, territory development, and so on.

 

All of these strengths, weaknesses and skills can be measured either (1) in an interview by someone savvy questioning and listening for the elements – not many people are competent at doing this, or (2) from a test that gathers information, compiles it, gauges it and validates it regarding these strengths, weaknesses and skills.

 

Selling for Your Company

 

Obviously the person has to be able to sell, but whether or not someone can sell for your company will center on elements defining your type of sale – simple vs. complex; big ticket vs. small; titles the person has to connect to; highly competitive vs. specialty, etc.

 

Finally your type of management must be compared to the style that the person works best with – micro vs. macro management; coaching vs. left alone to survive; tolerant vs. nothing but results.  There are more, and all need to be compared – candidate to company.

 

What to Do to Assure Success

 

Although measuring the elements sounds like a lot of work, the task can be relatively simple.  Devise a test that measures these elements or use proven, existing ones.  Now if you get caught up in the cost of testing, just ask yourself what a failed sales person costs?  And if you get caught-up in the predictability, look to the longevity and satisfied users.

 

Unfortunately, measuring the elements is not all that’s required.  You will need to have a recruiting step.  That is, writing an ad that draws the right type of person and searching the various companies, websites, and other venues where your right person will be hanging around. 

 

This leads us to determining what the right person should look like.  What experiences, salary levels, and successes s/he should have.  Finally, your interviewing process must be set-up to see if chemistries match and to explore red flags indicated by the elements test.
