In the business industry, you will find that most people use Microsoft products to conduct their daily tasks (i.e. copyrighting, building spreadsheets and writing reports as well as for general time and task management). Microsoft Outlook is the most popular software tool for time and task management as it allows portability, ease of use and familiarity.     • A relevant contact can be associated to the task (e.g. if you are waiting on someone else to complete a related task or if the same task is being completed in partnership with another person )
    • The task can be categorized (because the software can be used for personal and professional time management so it contains various categorization of tasks including ideas, holiday, gifts or business)

  • The Notes management section can be used to write quick notes as well as ideas because some people find the task manger quite advanced for just recording ideas so the notes manager simulates a pen and paper.
  • Finally, the software also allows Folder Management (i.e. folders for different clients, activities, news or even training events).

It is important that all businesses are aware of the vast functionality that this software provides in order for them to make effective and efficient use of it and to maximize their productivity. It is also most commonly used as a way of blocking out certain timeframes so that you are not disturbed and so that you can use that time to compete certain tasks that you have not had time to complete. The Outlook tool can be integrated with iPhones, PDAs and Blackberries to provide a portable form of time management for busy people who are constantly on the move.

Server issues

There is so much reliance on the tool that if there is a server crash and people are not able to gain access to their Outlook management tool then they start to panic. Therefore, the Outlook server should be backed up on a weekly basis at the bare minimum so that people have a record of the information offline. Also, if there was a server crash then the information could be recovered and restored quite easily.

As a researcher in Personal Productivity, I have completed a study that lasted 1 year. A number of participants took part in the study and used a new piece of time and task management software for 6 weeks. Every two weeks they tried out different strategies alongside using the software. At the end of the 6 weeks, around 60% of the participants reverted to using Outlook and some carried on using both. This gives an indication of how strong Outlook is even though there are different pieces of software tools available for this purpose.

Find the Right Time Management Tool to get the Job Done

Do you notice that certain people are cool and relaxed while others are really tired?   These relaxed people have their time management under control.  They’ve found out that letting a time management tool work for them brings big benefits.

Finding the right time management tool can make your life work smoothly and easily.  These tools come in all manner of forms.  They range from paper based form systems to complex computer software.  Picking the right one can make a big difference.

The tool I’ll discuss in this article is the calendar.  It comes in all shapes and sizes from paper based to full blown, all connected, computer based software.  The type of system you choose depends a lot on what you expect from it. 

If you’re an employee you’ll probably find that in terms of a time management tool for a calendar there is a corporate choice.  If your company hasn’t made a choice then you might be able to get them to buy the system for you.  Often the systems are pretty cheap compared to the productivity gains that’ll be achieved.

If you only get a few appointments every week then you probably only need a paper based system.  No matter what the software sales blurb tells you it isn’t going to make your time scheduling easier.

On the other hand if you have a lot of appointments in a week it is easy to quickly gain the benefits from a computer based scheduler.  This is especially true if the system connects together your calendar with the calendars of other people you know.

If you are able to automatically schedule appointments and reschedule them, then this can be a great way to save time.  The other advantage of great software is the ability of others to look into your calendar and make appointments.  They can see at a glance when you are busy and so can arrange appointments for a more suitable time.

However hold on before rushing to buy that software.  Don’t forget that it’s worth considering whether you really need this time management tool.    You can find that it ends up taking up more of your time rather than adding to it.  I’m sure, like me you’ve spent countless hours fiddling with software settings that add little value to your day to day work.

It’s always easy to get caught up in the “technology is the cleanest solution” idea.  This isn’t always the case.  Often the best time management tool is a bit of paper and a pen.  Or in the case of a calendar, a paper based pocket book.

But if you’re determined that software is the right approach there are two packages that I’d recommend evaluating: Outlook and Thunderbird.

Outlook is Microsoft’s offering and it is well integrated with the office suite.  Not surprisingly it has great support and it pretty intuitive to use.

Thunderbird is the Mozilla foundation offering.  It’s free and comes (like Outlook) as part of an email solution.  Thunderbird offers basically all the same functionality as outlook although it can be a bit tougher to set up.

You can download and try these products for free and generally put them through their paces.  I’d recommend that you give them each a trial for a week.

Skills that will make work easier for them should be acquired by the students to enable them to face these tough challenges. These skills will make sure that the students are not exposed to defeat when things get tough. Time management is a prime skill that they must learn.

The capabiltiy of a student to manage his time efficiently is referred to as time management. This includes goal setting, proper choosing, prioritiztion, organizing skill and many such skills. The concept of managing time is quite difficult as it demands good adjustment and preparation.

Proper and effective management of time by students yields great benefits. These benefits yielded from proper time managing skill are listed below

1. Students who practice efficent and proper management of time tend to get more quality time. There are many things that students neglect just to make most of the time they get.

But they do not realise the importance of these activities. eg. Eating;

Eating is an important part of every individual. People have to eat on time and also properly to keep them going. This is a portion of the total time they spend. With the acquirement of time managing skills, one can learn effective time organization in order to enjoy his meal at the right time.

2. No task setting for the future. The things that were left undone by the individual or those should have been done tends to give him a burden as a result of subconscious guilt. The results of time management could be felt only by practising it first. Listed below are the most important things that would lead an individual to these results.

1. Goal settting. One must be really clear about his goals. These should be realistic and achievable.

2. Realising one’ s most productive periods. This realisation prompts the individual to perform more and apply more efforts.

3. Avoiding procastination. Effective and wise usage of time is crucial.

4. Organizing skills. A clear idea on organizing things properly helps the individual to achieve the goals at the planned time.

5. Knowledge on proritizing. This aspect is really important. It is the key to acquire managing skills.

What’s Hard about Project Management?
Managing a large project requires a lot of good planning.  But, as difficult as the planning is, good tracking of even one big project can be extremely challenging.  And, if you have multiple large projects running concurrently, that tracking can be a nightmare.  Some of the challenges include:

  • The typical scenario involves one project manager who must track numerous projects and people.  That person becomes responsible for following up with each and every person involved in each job, which quickly becomes too much to effectively maintain.
  • Most existing project management software provides a good way to create a list of tasks, then assign them durations and resources.  However, they are not as good at providing an easy way to track every detail of every task – a project manager must use a lot of valuable time making many, many phone calls to gather information.
  • Most project management systems do not provide a way to notify team members when they are either due to complete a task, when they are late, when a task date has been moved, with a summary of tasks they have due in the next 30 days, or any useful data such as this.
  • Most companies have specific needs that are not covered by systems that are not customizable.
  • Creating on-the-fly reports is impossible, and any reporting is done by the project manager who is controlling the tracking system.  Many organizations literally spend days each week generating reports for management.

Using the Web to Make Project Tracking Easy
Imagine how much easier it would be to track projects if individual team members could simply make updates on their own tasks directly, instead of requiring a project manager to transcribe that information into a tracking tool.  There’s no need to imagine this today, because this is precisely the sort of problem that the Internet is perfect for solving.

A Web-based project management system easily solves the problems listed above:

  • A Web-based system opens up new frontiers that are not possible using traditional tools.  For example, have you ever wanted to share certain information with clients, such as the status of their projects?  A Web-based project management tool can completely and securely automate such processes.

Evaluating Net Costs
A customized Web-based tool sounds expensive, but it does not have to be.  The net price of such a system should be evaluated not only in terms of up-front and maintenance costs, but also in terms of potential cost savings, efficiency improvements, and additional revenues.

Determining cost savings is relatively easy.  Figure out how much time your project managers spend tracking projects, and cut that by 80% to 90%.  Calculate how much time is spent each week creating reports for other people, and cut that by 95%.  And so on …

Projections for additional revenues that could be generated is not as easy, but it is an exciting topic to explore.  How much more business will your sales people close (compared with your less forward thinking competitors) if they are able to offer instant, on-demand project status updates to clients?  How could your office staff utilize additional free time created by automating the tedious tracking process?  These are questions that require some creativity to answer, but they are the types of questions that, if addressed appropriately, can give you a significant edge on the competition.

Some have more features than others. Some will allow you to create slideshows. Some will add transitions, and allow image durations to be adjusted.Creating your own slide shows can be fun and entertaining, and easy to accomplish. Almost every digital camera now comes with some sort of software to manage your images. Some have more features than others. Some will allow you to create slideshows. You can also use most video making programs to produce slideshows, which is one way to have more control over the outcome. For example, Windows XP offers MovieMaker, which has many of the functions of a full-blown video producer program. The program allows you to set the duration of each picture, the transition between each picture; offers various effects to apply to individual pictures, and allows you to overlay an audio track.

To start, I have found that most digital images need a little adjustment for viewing on monitors. If your program allows it, I recommend increasing both the brightness and contrast just a few notches. Also, if you can, sharpen them slightly. A note about color: colors come in two categories: transparent and opaque.

When you prepare images for printing or for viewing on a monitor you must consider how colors interact with each other. Printed colors, when mixed together, go towards black. Projected colors, when mixed together, go towards white. Printed images are usually produced on equipment with a much higher resolution capability than your monitor, so they will appear richer and sharper in print. Most cameras are preset for printing, and that’s why it’s a good idea to sharpen, brighten and increase the contrast on images to be viewed on the pc.

Selecting your images and ordering them are the next important step. It is best to try and tell a story, to have a logical sequence to your images. Don’t show people going in the house before the shot of them getting out of the car. When you are taking pictures, remember that you may make a slide show, and try to take pictures that will present well in that style; for instance, in a room full of people , start at one side and take many pictures as you swing across to the other side of the room.

When presented as slides, it will give the effect of creating the complete environment. Vary the duration of the slides; don’t make them all 3 or 5 seconds, make some shorter and some longer. If there’s one person in a picture, shorten it; if there are many people then lengthen it so people have a chance to look at every face.

Once you have assembled the slideshow and applied transitions and effects, you can put the crowning touch on by adding a narration. You can simply choose some favorite or appropriate music, but to really personalize it, a narration is best. Not everyone is a natural speaker, nor does everyone have the most recordable voice for such a purpose.

In that case you will have to output the slideshow first and then open it inside the Movie Morpher program. It can deepen or enrich it, or make it faster or slower; it can even change a male voice to a female-sounding voice. It can add special effects for emphasis or dramatic effect.

You should work out either a written narrative or an outline of what you will say, practice it, and then record it. The final outcome will be an entertaining, creative, and personal record of part of your life, whether it’s a party, a graduation, or a simple family gathering, you will have created a cherished memory to be shared for all time.

The absolute BIGGEST challenge that entrepreneurs, artists, authors and other creative geniuses that come to me for help is productivity. Some know they need help with time management techniques. Others are struggling but they haven’t discovered that poor time management is the source of their frustration.

By asking a few questions, I zero in on the source of their misery, and evaluate whether they can benefit from the special time management techniques I teach. I just look for certain things they have in common.

4 Things All Entrepreneurs, Authors and Other Creative Geniuses That Need Time Management Help Have in Common:

- They are amazingly creative yet they feel like underachievers because even though they generate brilliant ideas with jaw-dropping ease, they struggle to act on them.
- These “live-wire” geniuses are adventurous, ambitious and energetic. They’ll start a hundred projects, but then bog down because of indecision, procrastination or a feeling of overwhelm.
- They search relentlessly for new time management tips and try anything to improve their time management skills regardless of past struggles, but standard, “common sense” time management techniques just don’t work.
- Despite their best efforts, they’ve accumulated a never-ending To Do list (I call it their To Do “book”) and they’re frustrated with time management techniques that don’t work.

These thrill-seeking rebels share another characteristic. Each was diagnosed with ADD or ADHD as a child, has adult ADHD, or exhibits many adult ADHD traits. Their brains work differently than most people. But, as soon as they turn on to my counter-intuitive time management techniques they experience a dramatic turnaround almost overnight.

See, you have to understand that your productivity depends on your mental and physical energy. Yes, you produce less when you’re tired, but your energy levels fluctuate far more than you realize.

How Your Energy Levels Affect Your Productivity

- At times, you have ample mental energy. You can laser-focus on anything that interests you, you’re amazingly productive, and you keep going long after other people are exhausted.
- Other times, you have plenty of physical energy, but your brain is also racing. You can’t concentrate. You’re eager to move and go through short (physical) tasks with ease.
- You need time to recharge. Your brain isn’t a plough-horse, plodding sedately. It’s a racehorse, capable of stunning bursts of power and speed. Like a racehorse, you must recharge between races.
- You also have your own unique energy fluctuations between these that create periods when you’re better at some tasks than you are at others.

Your energy fluctuations follow an identifiable pattern. When my clients track their energy level fluctuations at work and at play, within a week they have an accurate map of their daily energy levels, and the pattern repeats almost identically from week to week.

As a creative genius, you’ll always have many tasks on your To Do list! You effortlessly think up cool things to do or important things you should do. But you have to commit to do those tasks at a specific time by moving them from your To Do list to your agenda. Unfortunately, the large, unstructured space of your blank agenda often leads to indecisiveness and procrastination. Think of it as writer’s block for time management.

A Time Management Technique That Will Add Productive Hours to Your Day and Cut Your “To-Do” List Down to Size Guaranteed

You need a way to categorize and prioritize your tasks. Traditional time management techniques group tasks by importance. Do you manage your time or waste it little by little?

Most of us have very little concept of just how much time we fritter away. For instance, take a quick survey of how much time during the average week that you watch TV, surf the Internet, or any other time-consuming activity that may not directly contribute toward accomplishing your most desired goals.

If you find yourself thinking you don’t have enough time to finish what must be done, much less time to productively contribute to the goals you want to accomplish, you may be overdue for a realistic time evaluation.

And now you’re thinking. ‘Take time to do a time evaluation?’ I know, if you don’t have enough time now, you certainly don’t have time to do an evaluation of your time. It’s ironic, but that is precisely when you need to take stock of your time management. Consider it an investment to gain better use of your time and to accelerate the achievement of your important goals.

Let’s look at an example of a typical time consuming indulgence. How often do you watch your favorite television shows or DVDs. Say you watch 3 one-hour shows each evening Monday through Friday, and over the weekend you view 3 to 6 hours of sports, a DVD, or some other entertaining show. If that’s the case, you have consumed 18 to 21 hours each week. That is a significant amount of time out of anyone’s week. Of course, there will also be other activities that don’t directly contribute to successfully achieving the things you really would like to accomplish.

If you are really serious about evaluating your time to see where it all goes, consider the following exercise. Track your time each day for a week in 30 or 60 minute increments. To do this right, you will have to commit to accurately documenting your activities.

Be honest as you note where your time is spent. This can be tricky, as you will certainly surprise yourself along the way. You may find it hard to admit just how much time is clearly nonproductive. It is just human nature to bounce from one activity to another without a lot of forethought.

Of course, we all have unexpected, but important things come up that require attention. Mark those down as necessary tasks.

If you adhere to this time evaluation exercise for at least one typical week, you will then learn how you are realistically spending your waking hours. You will soon develop a new perspective about your time priorities.

You may find that you actually like the way you are utilizing some of your time. But, what about the time that you discovered as being frittered away? The approach to making changes in your time planning can run from making a simple priority list each day to implementing a time management software program. Only you can decide which action will work best for you.

However, beginning with a simple approach is the best place to start. Figure out what your goals are, decide what must be done to accomplish those goals, and then breakdown the steps required to achieve the results you want. You may find that there are 3 to 4 specific tasks that must be done within a certain time frame if you are going to be successful. Those tasks become your priorities and the other daily duties simply follow behind.

The trick is to learn how to discipline yourself to adhere to the priorities you have set, and not be led astray at every turn. For someone who has difficulty managing time this will take practice. But, if you truly make a commitment to accomplishing your goals and set a time frame in which that must be completed, you will be on the right track.

With this knowledge in hand, you can now plan how you want to more productively use your future time. That is, how you will best use your time for greater efficiency, more successful results of your goals, and even how you want to respond to unexpected events or tasks.
