The general complaint from graduate students is that they have very less time for a lot of work. The excitement is always there when you enter a grad school. But when things get to start going, you will realize that time management is so necessary to survive. The trick of the trade lies in how well you manage it and use the ever ticking time. Coping up with lectures, assignments and friends are never going to be easy. How well are you going to do it?

To not feel exhausted and hectic about all these, you need to possess some good time management skills. Being in a grad school, it should be your top priority. Keep a planner and strike of things as and when you do them. Time is precious and gold. You are certain to have a lovely time at school if you knew how to manage time. Remember that when you lose time, you never get it back. Make the most out of time.

Time management will contribute in big way to your success in a grad school. The skills you exhibit to manage time efficiently will see you go places and gain the advantage over others. Time management is not about speeding up or slowing down time. It involves planning and focusing on what you are doing.

You need to keep you managing skills intact in order to be well organized. Things go haywire if you are not organized. So being organized has to be your first step in time management. Putting things in order is going to help you big time as it saves a lot of time. You also become more productive and the focus is clearer. Hence, these skills are mighty useful and will decide how successful you could be at a grad school.

For graduate students, here are a few tips to manage time:

1. A school planner or a calendar will be very useful. Place your tasks in order and have the to-do list sorted out. Whether it is a long term or a short term plan, use these planners to good effect. Place them somewhere visible to the eye. It could be your bag or on the wall. In a graduate school, you might have to plan out even for longer terms than usual. It is sure that you are going to stay there for a while so it is better of if you plan it out.

2. Take ample time while you plan out your activities and tasks. Never hurry your decision and end up faltering on it. Make it a point to see your calendar or your planner so that you are always in touch with it.

3. Branch out all your tasks in the planner. It is simpler this way as it is less complicated to decipher. Hence, you can accomplish them easier.

4. Have deadlines for the goals you set out for. If you have been realistic in your planning, you will not have a problem achieving them on time. Strike out tasks you complete as and then.

5. Prioritize your work nicely. Have a total picture in mind and set out for work. Assign the most important things to do first up. Classify the assignments you have as easy and tough and work on them accordingly.

6. Keep time flexible. Any alterations you do should not affect your other work.

7. Identify when you concentrate the most. If it’s going to be in the morning, then you should plan out in such a way that you do things which are important in the morning. This way, you will do your work more efficiently.

I have spent most of the last twenty years researching, studying, writing and speaking about Time Management and Personal Productivity. I have learned a whole lot and my full-time mission now is to share that knowledge through my writings, seminars, consulting and keynotes with people who want to get more done in less time in their business and personal lives.

 

One important lesson I learned is that there are three simple, yet powerful Time Management Secrets. Knowing these will go a long way to helping you to better manage your time each and every day and get more done in less time and with less stress.

 

1.        We all have too much to do. Almost everyone I speak with tells me they have more to do than time permits. This says a lot of good things about you. That you have too much to do means many have entrusted a lot to you. People who seldom have enough to keep them busy and are always looking for things to do may not have earned this level of confidence from others.

2.        There is never enough time for everything. If you have too much to do, by definition, you will not have enough time for everything. In fact you will only accomplish but a tiny fraction of what you will want to accomplish in your lifetime. You will leave undone far more than you ever get done in this world. Your life is going to be like a sandy beach. Take one grain of sand and let that represent all that you accomplish in your lifetime. The other billions of grains of sand will represent all of the other things you might have done.

3.        While there’s never enough time for everything, there’s always enough time for the important things.

 

Early in our marriage, my wife and I were both working, our social life was packed and we didn’t seem to have a spare five-minute block of time in our days. Soon we were to receive our first daughter and a few weeks before she came to us my wife and I were agonizing over how to find the time to take care of this new addition to our family. Babies, they take a lot of time!

 

But what happened? Jennifer came along and we made the time for her. Did we still have a social life? Sure, but it was different.

 

Three years later, our second child Pam arrived, and once again, we found the time to attend to this new responsibility and still have time for other things.

 

While there is never time for everything, there always seems to be time for the most important things in life. “Necessity is the mother of invention.”

 

But you don’t have to wait until circumstances come upon you forcing you to attend to the most important things in your life. You can do it now. Each day in Daily Planning, identify the most important things you want to get done in your day. Place a high priority of those items and leave undone the less important things.

 

You won’t get it all done but you will get the most important things done.

Over the last few years there has been much emphasis on project management methodologies such as Prince2. The introduction and roll out of these structured techniques helps set expectations amongst the wider community about what the project manager will do, and the manner in which communication will take place.

The size and scope of some of the methods can give rise to serious issues as the project manager seeks to decide which elements from the methodology can be treated as optional and tries to downscale the approach to smaller projects. The level of detail or the number of stages of plans is all a matter of

¨ It is difficult to know when a risk log is complete. This log is sometimes compiled using brainstorming or other collaborative techniques, but the obvious need to have few un-mitigated risks can lead to ‘game playing’.
¨ Deciding on the work breakdown structure and the product interdependencies can be really challenging.

As project methodologies have become more prevalent, the author has noticed a tendency for the subject knowledge of project managers to be treated by some as less important. The project manager may be more of a generalist who understands the process of project management rather than an individual who has experience of the particular challenges arising from the activities involved ( e.g. software development, building an airport ). There is little substitute for the experience that allows a project manager to judge when a small issue is one that will remain small or could grow into a issue threatening the complete project ( or even programme ). This isn’t to say that software project managers need to know how to programme for example; but if for instance they don’t understand the difference between representative and unrepresentative test harnesses for unit testing then the system integration could be appalling
painful.

The team obviously have a vital role to play but the team can feel inhibited from telling their boss that he or she is wrong. Even if the message is delivered it can be discounted, or confused with a lack of discipline. Independents can play a valuable role uncovering these and other challenges that the project may face.

Quite apart from the challenges that arise from the need to define management deliverables there are often serious issues with the estimates and assumptions made as part of specialist deliverables that are to be delivered through the project. These assumptions are of critical significance to the whole project and often need a detailed technical and business review to bring them to light. The technical staff within a project may not be aware their interpretation of the business requirements has embedded unsafe assumptions.

Examples of some unsafe assumptions that the author has uncovered during past project reviews are:
¨ Expecting the client to synchronize identifiers between systems on a regular basis.
¨ Misunderstanding the speed of response required to support call centre staff when designing a complex integration to back office systems.

Project reviews
More recently much attention has been given to ‘gateway reviews’. In the UK the OGC have published a gateway review process that organisations may have adopted. It is worth recognising, however, what these reviews do well, and what they omit. The reviews focus on ‘buy’ rather than ‘build’, and they ask whether the project management controls are working and the project will deliver the benefits to its stakeholder community. The reviews do NOT focus or consider which assumptions may make the project outputs meaningless. This is assumed to be happening as part of the project management process. A review that actually looks at the real deliverables can be valuable to make sure that the project will still deliver something.

Conclusion
So whilst project management methodology is rightly seen as a means to avoid some of the more obvious pitfalls that have been seen in projects, practioners should be wary of assuming that the adoption of a particular methodology will be a miracle cure for all projects.

Once the views of the team and other stakeholders have been gathered it is worth getting independent review to assess your plan and the assumptions. Periodic refresh as the project unfolds can be worthwhile, depending on the extent of change experienced during the delivery period.
