A PHP/MySQL web application— dotProject offers a comprehensive project management solution. Different types of companies ranging from the software to engineering and logistic firms have successfully used this software. It is due to the behind- the- scene contributions of large user and developers’ community that dotProject today boasts of such an expansive feature list.

In addition to a clean and simple user interface, it is modular in structure and it also supports themes or skins for bringing customized flavor to your page presentation. The dotProject software supports the elements of configuration. Configuration can be done in the dotProject System Administration environment as well as for setting up the required infrastructure.

The dotProject themes

Till the version 3.0, only a very limited number of themes were available for dotProject. With the launch of latter versions, the dotProject theme bank started to expand, as all the post 3.0 version releases started to use Smarty templating.

If you are new to dotProject, a tutorial can come handy for you. Starting from installation of the system and addition of modules, the tutorial will help you with the changing process of dotProject themes.

Prior to the release of version 3.0, dotProject themes were not distributed much. The reason may be traced in the developers’ nonchalance for creating new themes for the software.

The default dotProject script comes with three pre-installed themes. For a community of developers these themes are sufficient for the project management tool like this.

But they are not right; there are many clients who may wish a different look and feel for their project management website. In that case you have to change your dotProject themes. The dotProject themes can be changed by anybody with some basic knowledge of php/html.

How to proceed with the theme changing process?

• First you have to get inside your dotProject install directory. Now go through the dotProject file hierarchy.

• You can find the theme content under the folder “style”.

• Next you need to copy one of the folders with the name of the theme you are going to create.

• Now you can access and edit the files inside to match your theming needs.

There are two ways of selecting the theme:

1. System Wide – System Admin > System Config > Default User Interface style

2. Per Individual User – My Info > Edit Preferences > User Interface Style

The user can change the theme very easily—it takes as little as this:

• Login to your dotProject

• Click on “System Admin”

• Select “Default User Preferences”

• Choose the theme name from the dropdown menu

• Click the Submit button at the bottom of the page.

However, it is possible for the administrator to restrict style selection by the users. For that the administrator has to remove the directories / styles that it does not wish users to have access to.

For any project that we undertake in life, be it a long term or short term, personal or professional venture, setting an outline to achieve our goals is a great idea. To be successful in modern business you need to have a time management strategy. In every sector you will find stiff competition and a lot of people who are willing to work very hard to get ahead. If you are involved in sales, fundraising or just an active networker, you have probably tried a variety of tools to manage your contact list and remind yourself to stay in touch with all of the prospects and people you meet. This tickler file is designed to be an inexpensive, effective, tool that can be used by salespeople in a variety of different types of organizations.

This tickler file uses inexpensive index cards and a simple file box. You will need the following items to create your own index card sales tool. I found everything I needed at my local office supply store. The total cost was around $25.00.

- A box to store the index cards
- Monthly 3″ by 5″ index tabs
- Daily (1-31) 3″ by 5″ index tabs
- Alphabetical 3″ by 5″ index tabs
- A ton of white ruled 3″ by 5″ index cards (you don’t need a photo, right?)
- A bunch of colored 3″ by 5″ index cards (pick your favorite color)
- A small case to carry your in your pocket

Once you have purchased the required supplies, you can organize your 3X5. For the sake of simplicity, let’s assume that you are assembling your 3X5 on January 1st. If this is the case you would first organize your tabs in the order below (front to back):

- January tab
- Daily tabs 1-31
- February – December monthly tabs
- A-Z alphabetical tabs
- Blank index cards – white and your favorite color

All of your cards should now be in the file box and the first thing you should see is the January tab.

Next, you should start creating cards for your leads. In the beginning, this is going to take some time (assuming you have a lot of leads). You might choose to use one color card for prospects, one color for customers, another for personal contacts, etc. If you are not going to organize your contacts by color, you will only need white cards. Nonetheless, you can either copy your contacts information onto the cards or simply staple their business card to one of the index cards.

The system works like this.

Let’s imagine it is January 1st. and you attend a networking event where you meet a potential client. You get this lead’s business card at the event and you want to contact him/her on the 2nd., so when you get to your office, you staple the leads business card to a white index card and drop it behind the “2″ tab and then go home for the day. After all, it is new years day and you have been working hard to create your new sales system and you attended a networking event.

So, you arrive at work on January 2nd. and open up your tickler file. The first thing you should do is move the “1″ tab back behind the February tab. You will always be rolling the system forward like this, so that the first tab you see in the box represents the most current month, then the most current day.
Now, you go to the tab for today (Jan 2nd.) and find the card for the lead that you met at the networking event yesterday. You call the lead and learn that he/she is out of town until January 6th. so you make a note which says, “1/2/05 – Mr. Lead is on vacation till 1/6″. Now you drop the card behind the “6″ tab for the month of January.

You will continue to roll this lead forward in the system, making notes at each step, until the lead either turns into a customer or asks you to leave them alone.

When the lead turns into a customer, I staple their business card to a colored card and place it behind the appropriate alphabetical tab. If their is another opportunity with this client, I move the colored card back to the dated section and move them through the process again.

Of course, as you add more people to your pipeline, you might not get to contact everyone on the day you have them slotted for. Just move them to the next day’s slot at the end of the current day so you contact them tomorrow.

You will not want to carry around a huge metal box full of index cards, which is why you want to have a small index card wallet or box, so if you are going to be on the road or out of the office, you can simply grab your cards for the day and go.
Not just for salespeople.

While the system is great for salespeople, it also is a great tool for those of us who are focusing on networking. I actually use three different colored cards and use white for leads, blue for clients and red for my networking contacts (patriotic, I know). On the red cards, I write either 7, 14, 30, 45, 60, etc in the upper right hand corner of the index card to remind myself how frequently I want to contact the person, so I simply move the card forward based on the number on the card. If I want to contact someone every seven days, I move the card ahead a week after I make contact.

Are you in the software consulting business? Would you like to go beyond just selling products and services, and move towards selling real solutions that can give your firm long-term profitability?

Many involved in software consulting don’t fully understand why you need to go beyond selling software and products and establish real relationships with clients that involve sophisticated end-to-end IT solutions.  And even if installing networks and finding the right software for your small business clients is a part of your job description, you really need to move beyond just basic server and network installation, and find profitable ways to continue adding value to your installations.

The following 8 tips can help you go beyond basic software consulting, so you can profit from mutually-beneficial, on-going relationships with steady, high-paying clients.  

1. The Best Opportunities Come from Being a Virtual CIO/Project Manager.  As you start to develop long-term relationships with small business clients and go beyond just installing and customizing software, you want to become each client’s virtual CIO and project manager.  As you take on this role, you will have the ultimate responsibility for delivering the completed project on time and on budget.  You are commanding high rates because you are managing complex projects with a lot of variables.  Smooth upgrades and on-going maintenance don’t just happen. As a true project manager and virtual CIO, you have to be diligent with advanced planning and attention to many details.

2. Build a Testing Center in Your Office.  Building a test bed in your office can help you become more comfortable with supported software and product recommendations.  Know the major product features inside-out and backwards before you install the software at a client site.  You don’t want your clients to be your guinea pigs.

3. Plan and Coordinate Carefully.  A lot of the work for any major software consulting project is advance planning and coordination.  As a virtual CIO, make sure everything you do for clients is rigorously planned, so you don’t compromise important client relationships by failing to deliver on your promises. 

4. Schedule Major Upgrades and Other Disruptive Work for After Hours.  Plan to do major software upgrades and network installations when your clients aren’t in the middle of a busy work day.  Start planning downtime weeks in advance so everyone knows what to expect. 

5. Be Totally Prepared for Emergencies.  As part of your software consulting, you have to have your proverbial “fire extinguisher” ready for every client.  Know who to call, including vendor tech support phone numbers, passwords, hours, and newsgroups, when you run into a problem that stumps you before you are in the middle of it and completely stressed out.

6. Review Your Clients’ IT Asset Inventories and Site Survey Notes.  Get familiar with any shortcomings your clients might have in terms of their IT assets or any other systems that might get in the way of a successful installation.  You shouldn’t consider taking on a client that refuses to pay for a few hours of your time to do an updated site survey or create an asset inventory. 

7. Set Up Clear Testing Criteria for Each Client.  As part of your software consulting, you need to define success with each client when it comes to installations.  Figure out how to test systems and applications to make sure you have successfully completed a project. To do this, you need to have very set criteria for determining a job well done.     

8. Have Back-Ups.   If you really want to be a virtual CIO for your valued clients, you shouldn’t undertake any major installation until you are totally sure that your client has multiple, verified and tested back-ups in case something goes wrong.
