task management tools

Working as a fleet manager is never easy; there is the headache of keeping track of all of the vehicles in the fleet whilst also trying to manage each individual staff member. Thanks to modern technological advances however, today’s fleet management solutions can reduce stress and make operations far more efficient. GPS or global positioning systems have been instrumental in the development of fleet management tools, unlike GPS devices in normal cars, business GPS can give directions but also track the vehicle, its speed and direction and highlight important maintenance dates. The subsequent benefits consist of better operability, increased fleet awareness and greater levels of efficiency.

One of the major benefits to these types of systems is that they allow a manager to have a complete understanding of the exact location of every single vehicle. Understandably this allows for easier personnel management as any workers who are either driving in a dangerous way or are using a company vehicle for unauthorised purposes can be dealt with quickly and effectively. Additionally, by having information on the driving habits of workers, it is possible to find wasteful drivers and give them instruction of how to drive in a more fuel efficient manner, for instance, by reducing speeding and idling time.

GPS fleet management tools also aid in the completion of administrative tasks. The result of this is that less man hours are spent on tasks such as compiling fuel sheets meaning that their time can be better spent elsewhere improving the profitability of the business. Some systems even have the option of providing the management with details of any particular vehicles relevant maintenance dates, ensuring that MOTs, services and oil changes are never missed; the result being a better maintained, and hence more fuel efficient fleet. Many of the most advanced systems are able to be connected to the vehicle’s engine management system meaning that if any problem does occur whilst in transit, the headquarters are notified immediately, reducing the chances of further damage being done to the vehicle.

The GPS device that comes as part of a fleet management system in many ways resembles the little black box recorder in aircraft. This can be especially useful if an accident does occur. By having a detailed record of the vehicles position, speed and direction, making insurance claims is made that much more efficient and detailed. This type of function is increasingly important in a world gone mad with liability claims.

Additionally though, with the implementation of GPS vehicle tracking devices other benefits soon become evident. One of these benefits is the money that will be saved in insurance premiums. Insurance companies are quickly realising that an accurate GPS system will reduce instances of driver misbehaviour and will also aid the police in the tracking of stolen items. Subsequently premiums are often dropped for companies with GPS vehicle tracking; in some cases the saving can be as much as thirty percent.

Understandably these reasons have led many managers to implement GPS technology. They do not only make life easier, but help in giving both managers and workers a simpler work life. With all the benefits, the costs of installation are soon recouped leading to a more efficient and hence more profitable business.

time management templates

Time management is essential in the success of any business. It is especially important to the person that runs a business on the internet. There are so many distractions from the radio, to Oprah to Jerry to Dr. Phil to the kids to…well you get my drift.

Here are a few tips to keep you on track:

1. Name your project

You may name your project as a final name of the product or you may just give it a code name that means something to you.

2. Understand what part of the three step process you are in:
Acquisition, presentation or promotion.

Here is a simple question to ask yourself to check if you are on track with your time budget, “What is this activity designed to do?” or perhaps, “What is the outcome of this activity?”

This will help you to identify if you are spending time in the wrong area at the wrong time.

3. Set up check lists to make sure everything is covered. Focus on completion.

4. Promotion: Clearly define your action steps.

5. Track the results or your promotional campaign in terms of traffic, click through rates, subscribers and purchasers. Include costs of conducting your campaign and compare that to your sales to determine your return on investment. It is only by tracking the results of the promotion that you will know how to effectively change the presentation for further testing.

A spreadsheet is an invaluable tool as a template for specifying your promotional campaign and also for tracking results, costs and return on investment. Adding in columns for each day of the week allows you to allocate your time so that all your promotions are covered in a time effective manner. This becomes your business gauge by which you assess the effectiveness of your promotional campaign.

Earning an income on the internet is a process that in broad terms involves three stages:

1. Getting your product (acquisition)
2. Developing your product presentation
3. Promoting the product

In this article, “product” means any tangible product, digital products (ebooks and software) and services such as membership sites, web design and development, hosting, “print on demand” for ebooks, fulfillment for orders and so on.

By necessity you will spend time in each of these stages. Each stage will involve a learning phase and an action phase. It’s important to identify clearly what stage of development you are currently working on and to focus on completing that stage.

1. Getting your product (acquisition).

Choose between your own product and an affiliate product.

This will involve identifying a demand using for example surveys or the popularity of search terms.

Key Point: Once you have your product you can stop spending time looking at other product possibilities for the time being.

2. Developing your product presentation.

Once you have chosen your product you will need to develop a presentation.

This will include your website primarily and can also include autoresponder sequences and a newsletter.

Key Points: Once your website and presentation process is completed you can move on to the promotion. You can always improve the presentation but once your presentation is “presentable” you should move on to promotion. Don’t get caught up trying to make things perfect. Good, yes; perfect, no. The reality is things can always be changes. It does not matter if you have the best product in your niche and the best presentation if nobody knows about it. Give your presentation your best shot and then start promoting.

3. Promoting the product.

No matter now good your product and presentation are, you must get your presentation in front of your intended audience or nothing happens.

“We have to become better at promoting what we do than doing what we do.”

This is where it is also important to be clear about what stage you are in. Remember, time is limited, so if you have already chosen your product and developed your presentation it is not productive to keep looking for products or spending a great deal of time “tweaking” your presentation.

Time can always be spent tweaking sales copy, images, layout, web presentation, upgrading or trying new software, investigating new product opportunities (before the current one is complete), improving design skills, keeping up with the changing web “standards”… The list can seem endless.

Key Point: Time is better spent developing a clear promotional strategy and putting it into action. Only when you are seeing results from your promotional activities should you consider altering your presentation (such as modifying headlines and sales copy) to assess how that affects conversion of prospects to customers.

Understanding the three stages of the business process and the stage you are in, using checklists and tracking your results using business gauges are the proven ways to maximize your time, your effectiveness and your profits

steven covey time management

Time is precious thing so make the best use of it. Mind Tools teaches you personal time management skills. This personal time management guide and the accompanying newsletter are dedicated to building a stronger foundation for your success. One skill at a time. These are the simple, practical techniques that have helped the leading people in business, sport and public service reach the pinnacles of their careers. There are only 24 hours in your day, just the same as everybody else’s. So how do you end up frustrated, angry, behind in your work, and dead on your feet?

Maybe because you don’t know how to use those 24 hours to your advantage. If you use these skills well, then you will be able to function exceptionally well, even under intense pressure. Developing time management skills is a journey that may begin with this Guide, but needs practice and other guidance along the way. Your main source of problems or your major breakthrough may still be hiding in your blind spot. What you really manage is your activity during time, and defining outcomes and physical actions required is the core process required to manage what you do.

Tips for time management

set priorities and manage your time to meet deadlines

Handle people and projects that waste your time

Action Plans and Prioritized – To Do Lists help you focus on the most important short term activities.

Prioritize assignments – When studying, get in the habit of beginning with the most difficult subject or task.

Make Sure the Surroundings are Conducive to Studying: This will allow you to reduce distractions which can “waste time.” If there are times in the residence halls or your apartment when you know there will be noise and commotion, use that time for mindless tasks.

Time management provides you with the opportunity to create a schedule that works for you, not for others. This personal attention gives you the flexibility to include the things that are most important to you.

If using your time wisely is a problem for you, you probably don’t have a very good idea of where it all goes. It just seems to go! A good place to start, then, is to keep track of how you use your time. Get a Weekly schedule (available in the Learning Skills corner of the Counseling and Testing Center’s Career Library) and faithfully keep track of how you use your waking hours for one week. The results will probably surprise you.

Successful leaders in almost every field organize each day according to the priority assigned to the activities to be accomplished. Make sufficient copies of the Daily Activity Guide to insure a two-week supply, and use the form as an aid in planning each day’s work.

The objective is to change your behaviors over time to achieve whatever general goal you’ve set for yourself, such as increasing your productivity or decreasing your stress. So you need to not only set your specific goals, but track them over time to see whether or not you’re accomplishing them.

Put things that are most important at the top and do them first. If it’s easier, use a planner to track all of your tasks. And don’t forget to reward yourself for your accomplishments.

Visualize your long term picture of success and put it in writing. Review your goal frequently. Your goal should be specific, measurable, achievable and compatible with where you are now. There should be an end date as well. Steven Covey calls this “Begin with the end in mind.”

Planning your day can help you feel more in control of you life. Write a to-do list, putting the most important tasks at the top. Keep a schedule of your daily activities to minimize conflicts and last-minute rushes.

ms project software

In today’s business environment everyone needs Project Management tools. And professionals who manage Projects are called Project Managers. Qualities to look for in a project manager are inspired and shared vision, good communication skills, Integrity, enthusiasm, competence, ability to delegate, handle pressure, and team building and problem solving skills.

Software related to Project Management is called Project Management Software. Professionals who manage teams, budgets, people, portfolio, cost, and last but not the least, time – need Project Management Software.

It is important for professionals that they learn to use Project Management Software as a priority so that they are able to build schedules quickly and efficiently and it will also enable them to update their projects on weekly, daily or fortnightly as needed. Updating status of the projects is trivial and usually does not take long. There are two types of project management software a) of the shelf like MS Project or custom made to suit individual business needs and there are several levels in project software based on technology or level of sophistication.

There is a wide range of choices available with different price tags attached. One must also understand the fact that merely using a Project Software does not make an executive more effective, it just makes them more effective. A professional should never be under a wrong impression that merely getting Project Management Software or project software will give them an edge automatically. Unless you’ve chosen the right software for your business and you are clear about your Project management skills, it won’t help. Poor project management and selection of project management software often leads to missed deadlines, cost overruns and sometimes-outright failure of the project.

Before you look at various kinds of Project Management Software available in the market, it is important to weigh it against your Project Management skills. This will help you choose the right tool for your business or profession. Project Software for managing small project will be different from Project Software that you will need to manage cross-functional projects for clients and executives. Likewise, managing a multi project environment will require a different type of
Project Software. Project Management skills should always be considered as important criteria while choosing Project Management Software.

Before choosing and installing Project Management Software it is also important that they are compared in all aspects. You should also check out Web-based project management software. This kind of Project Management Software enables information to be published instantly and can be made available in real-time, and changes dynamically as per the factors on the project that change.

Before getting Project Management Software for your organization, give it a good long thought. Learn about it and how can it help your business run more efficiently and whether you or your project managers possess the skill sets to operate it. If you don’t, do you plan to hire a project manager who can and can you afford one at this stage. All these considerations will help you in making an informed decision.

microsoft task manager software

You’re looking to make changes in how your company manages time and projects. But how will you manage to implement those changes? Making changes in your time management system can be a challenge and could include a multitude of questions. There are many considerations; after all, it isn’t just about you but equally about those that work with you. You probably have a system for bookkeeping and payroll right now, but in the ever-changing world of business you have most likely heard there are more effective tools for putting the numbers to work for you. These tools are known as Time Management Software, Project Management Software and Business Management Software.

Change, in the Business sense, is better labeled “progress”. Progress is important, for it encompasses much in the business world, and without it you are merely spinning your wheels. History tends to reveal many answers. Take for instance two corner grocery stores in say the 50s. Store A puts all the receipts for ordering resale goods, utilities, hours of his employees and the tapes from his adding machine into a paper bag and brings them home on the weekend to balance between receivables and payouts.

Store B’s owner keeps a log of sold items, employee tasks and items spoiled or out dated along with a simple two column ledger he kept up at the close of each day. There were not any differences that seemed major between store A and B in the beginning but in time store A developed a reputation for having out dated goods and spoiled product, the shelves were dusty and bookwork was behind by months because life happened on the weekends. Store A was beginning to loose revenue yet he was unaware of the reason because he did not have a time management or project management system in place. Store B continued to thrive, always offering the freshest product to their customers, cheerful employees that knew what was expected of them, and a store that seemed to carry just what the customer wanted.

Store B had a system for project management, time management and business management. Store B excelled to become a huge grocery store chain, where store A threw in the towel and locked their doors for the final time. The moral of the story is you need to have a system to manage your numbers. How good that system is will dictate the progress of your company. If progress means changing to a time tracking software system in today’s world, then you need to know what you’re looking for.

Since Time is Money, you need time management software as well as business management software to make your business as successful as it can be. The software you choose should feature as many of the following characteristics as possible:

WEB Based (Installed or Hosted Online)

Over 134 reports

Automated reporting, notifications, job tasking

time management for working women

Professional and Executive Women have more demands on their time than ever and achieving career success while balancing after-hours commitments can seem like a Herculean task.  There are some easy strategies that many “superwomen†use to control their often hectic lives; this article will give you the top four secrets of successful time management for working women.  As you read them keep in mind that these ideas are not groundbreaking in and of themselves, but many successful professional and executive women implement them more consistently than others.

1) Define What You Want – In every situation you are involved in you should begin with the end in mind.  (Stephen Covey made this concept famous in “The 7 Habits of Highly Effective People.â€)  You need to identify your deepest values and make a list of what success in each area looks like.  Without a vision of your desired outcome, you are likely to pass time rather than moving in a desired direction.  Think of a sailor leaving the harbor without a specific destination. She can still set sail, but will end up running out of resources at sea instead of moving toward a point of interest.  If your deepest values include spending time with your family, making meaningful connections with people, or bringing your product to launch at work, you need to define what success in each area looks like as specifically as possible.

2) Prioritize What You Want – Once you’ve identified what you want, now you need to prioritize what is most important to you.  Think about what each item on your list will give you in terms of return on your investment of time and prioritize each item based on the best return.  For example, spending time at your child’s baseball game may be more important to you than finishing a report for your boss by deadline; if you only have three hours after work you must decide what is most important to you. You may decide that other duties must still get done but you can perform the lower-return duties after your children are asleep or you can delegate them.  Keep in mind as you prioritize that your highest priorities should be things that move you in the direction of your deepest values.

3) Delegate What You Can – As we progress through life, demands on our time tend to accumulate.  We take on more responsibility at work, start families, work begins to bleed into home life as responsibilities mount, our children start joining activities after school that we want to attend and our homes still need to be cleaned, cars and clothes washed etc.  Many successful women have begun delegating some of these duties to cleaning and yard services in order to focus on higher-return activities in other areas of their lives.

4) Develop Your Action Plan – Once you have defined what you want, prioritized those items based on return on your investment and delegated what you can, now it is time to develop your action plan.  The enemy of productivity is busy work.  Without an action plan focused on what you’re trying to achieve, you will end up wasting a lot of time with busy-work that doesn’t move you in the direction of your goals.  Create a routine, a Plan A, that allows time to focus on action steps that move you closer to your deepest values.  Make sure to allot time to each area of importance to you and consistently execute your action plan.  Of course there will be times when you must move to Plan B due to an unforeseen circumstance, but if the majority of your time is focused on your desired outcome, you’re much more likely to reach your destination.

Once you have implemented these time management success secrets, review your action plan at least once every six months and make adjustments.

P.S. – You can’t be productive waiting to see where life takes you.  You must plan your route by focusing on your desired destination and reverse-engineering action steps to move you toward your goal.  Business Books are an extremely helpful resource for brushing up your skills.  If you don’t have time to read many, a service like skirtsuitsummaries.com will deliver summaries of the best business books to you.

staff time management

The “dot-com” bubble may have burst for some, but there are still thousands of folks toiling out there, trying to make their small internet businesses profitable. Finally it looks like there may be a way for those folks to get their business in the black and have the time to enjoy their profits. The 1 Virtual Staff program may be the way out for those small internet business owners who may end up topping out or going belly up.

1 Virtual Staff time management software is essentially a way for you, the business owner, to pay someone else to do all the leg-work for you. They have a team dedicated all of the facets of building a great website: graphics, marketing, customer service, web development, and traffic assistance. With all of these bases covered the business owner can pretty much sit back and watch his business thrive.

Everyone has their opinion about outsourcing, many of them not so good, but these guys really seem to on the up-and-up. Ian Del Carmen, their president and CEO, used this same method to get to where he is and is willing to share his secret for a fairly negligible fee, considering what your business gets in return. His 1 Virtual Staff program allows you to concentrate on your product, so you don’t have to spend hours online staring at your computer.

As a testament to Del Carmen’s character and work ethic, he currently only accepts ten customers at a time. This allows his team to really focus on their clients. They won’t be overburdened with numerous clients and accounts, as they only have ten. They will get to know you by name and will know the ins and outs of your business in no time with such a small workload. This can only be a plus for you and your business. If you are late to the game, he will allow you to sign up on the waiting list and you’ll be automatically notified when they have a position opening up.

As far as the fee goes, they are currently only charging $697 per month. This may seem steep at first until you consider the alternative. If you were to hire freelancers at other sites, such as elance or Guru, you will pay many times that amount for the services 1 Virtual Staff provides. Another added benefit is that with Ian’s crew you get all the experts you need in one place, for one fee. With some other freelancer sites, you’ll probably have to track down several people to get it all done, and they will all be working remotely, not together as a team.

In the end, this reviewer thinks that 1 Virtual Staff is definitely worth your time if you are an internet business owner. They truly want to focus on you and your business, building it up to profitability so you can relax and focus on your passion. You undoubtedly got into internet business to make money, not to sit in front of your PC for hours at a time, trying to learn the ins and outs of internet marketing. If you want to get back to what got you interested in owning your own business, you should definitely give these guys a try.
