The windows task manager is one of the tools afforded the windows user to manage and control processes, threads and programs. It is a good tool to use as first step in checking the main computing resources – the processor and the memory.

When your computer slows down, the Ctrl-Alt-Del button brings up the task manager to afford you quickly the culprit responsible. It shows which process or program in Vista windows that are gulping processors and or memory resources.

First of all, look at the task manager to see whether the computing resources for memory and processor are adequate. The ram or the processor or both.

To check for the ram usage on the task manager press ctrl alt del button and check the commit charge on the status bar if the for instance the system has a 512 memory the page file size will be 1053 or more if the commit charge always read 800 to 900/1053 then it is time for you to upgrade your ram. If the CPU usage is always over 70% it is time for you to increase your processing power.

One way you can speed up your computer is to prevent programs from launching themselves at start-up. Not only do the unwanted programs delay the start of Windows, they also continue to slow down your computer since they use system resources.

When a processor and the memory resources of your windows are heavily tasked, it is a likely failover for the registry system. As the memory try to use the page or swap file to augment for space, entries are made to the registries which later becomes redundant and end cluttering the Registry database.

Managing a project can seem like an easy task. You write and get a project initiation document approved, calculate a budget, detail a plan, get hold of some resources and voila, you’re on the easy road to delivery.

Well not quite, because in most projects the question of scope tends to rear it’s ugly head with depressing frequency. There is no rational explanation for it other than that Business Stakeholders tend to suddenly become unclear on what exactly they want delivered as soon as the project starts.

One of the reasons for this occurring is because the project scope statement has not been carefully detailed in either the Project Charter or the Project Initiation Document. This coupled with the fact that Stakeholders suddenly start having second thoughts about the requirements they want delivered, and before long, the project is in the midst of the dreaded scope creep.

This often arrives completely unnoticed. Scope creep tends to starts with some “blue sky” thinking by Business Stakeholders regarding how the deliverables can be improved by the addition of new functionality. Alternatively it starts when questions are raised at a more senior level over why certain specified functionality is being delivered. This often leads to panic and a sudden desire to change the scope, or add in new functionality.

Now of course if enough contingency was already defined in the plan at the beginning this can to some extent be managed. However this is rarely the case. The result is that too many project manager’s find themselves forced to desperately try to find a way to deliver additional or changed requirements within the same timeframes and to the same budget, usually it has to be said, with little success.

If not stemmed immediately this desire to change scope can all too quickly lead to deliverables spiralling out of control. This is particularly the case when utilising SCRUM as a software development methodology since it is harder to contain badly defined scope on these types of projects.

Before long something has to give. Either the budget and timeframes need to be increased substantially or the requirements finally nailed down. However in numerous cases, the Organisation simply throws in the towel and decides to scrap the project altogether.

This is why ensuring a detailed project initiation document or charter is written and adhered to is absolutely vital for successful delivery and launch. Otherwise allowing scope creep to take hold simply leads to the project manager fighting a losing battle. This usually only ends when finally the project is beyond recovery.

It is for this reason that Scope Creep not only destroys projects, but also reputations and careers as well. Ignore it at your peril!

prince2 software project management

Question: I’ve set a goal for myself, I want to move into project management and away from systems support (after 15 years). What is the best way to do this over say a 4 year period, I have lost interest in IT systems and want to change. 
I do not have a degree but have certs and a diploma, mainly systems support stuff (mcse, ccna etc). I got into IT the long way round, failed the leaving, got into a fee paying tech college then Fas. After Fas I got a placement in a support role and have been stuck in support roles since… obviously this is not how I planned things but its been a means to an end.

This wouldn’t be the first time I’ve changed careers as I used to be a Chef but gave up because of the hours I was putting in, huge difference in the type of industry and the types of people etc.. However I’m a lot older now and could not take the financial hit of starting out as a junior type project manager. I’ve recently done a diploma in project man, but its difficult to break into my area as infra PM, as roles are very rare these days. 
There seems to be a lot more of programming type PM roles, from a programmers point of view what skills would a PM need to work successfully in a similar role.. Obviously PM stuff like PMP and prince2 but would the PM need programming skills also?

software project manager is a project manager with a firm background in software development and related fields. They are often responsible for overseeing the Software development life cycle.

So, while there are Project Managers that manage Systems the majority of Project Managers are in Software Development. This is just that the Software Development Life Cycle has a need for more PM’s. It would improve your job chances if you gained experience in the Software Development Life Cycle preferably as a programmer to start.

The other issue that you are trying to avoid, is your education. While there are PM’s without a college degree their careers are not as stable and typically do not make as high a salary as one that has. You will find that the majority of successful PM’s will have at least a Bachelors Degree and usually a Masters. Most Universities are graduating large numbers of graduates with Management of Information Services (MIS) degrees. They will usually get the Project Manager position before you would. You need to go back to school.

For years authors of books and articles about Time Management and leaders of Time Management seminars have suggested numerous simplistic, unrealistic approaches to solving the interruption problem. The most mentioned and most ridiculous suggestion among the Time Management tips is “learn how to say NO.” This approach has always been simplistic and unrealistic, and it is even more so today than ever before.

The dynamics of today’s work world can result in rapidly changing priorities involving many kinds of opportunities, issues and problems. Some may be emergencies or crises requiring immediate analysis, decision and action; others are routine business. Today, you need Time Management strategies and Time Management tools that work and are based on ethical behavior.

Analysis and Decision
First, analyze the purpose of the interruption. For example, a friendly “Hi Bill, how can I help you?” or “Hello Mary, what can I do for you?” will help you learn immediately the purpose of visits and calls. You, then, can assess the priority of the interruption … How important and how urgent is the interrupter’s opportunity, issue or problem compared to what you are doing.

You want to make an appropriate decision about your interrupter’s request for assistance. But, the correct decision may not be as clearly defined and easy as you want it to be. Comparing the relative importance and urgency of one priority versus another can result in “tough calls”; some times you will be right; and other times you will be wrong. Knowing how to analyze interruptions and respond to them will help you be right most of the time.

Second, most of the things about which you are interrupted are important to you and to your company, as well as to your interrupter. Saying “NO” is not the only alternative.

Never send an interrupter away empty handed if he/she has a legitimate opportunity, issue or problem. Then too, never surrender your time to any person or anything that will waste it.

Professional Approaches
Today, interruptions will be handled professionally and effectively by those who tailor their responses to a variety of interruptions, each having its own levels of importance and urgency. Learn to use the following approaches; use each when appropriate and save time.

1. Say “YES.” When the interruption involves something more important and more urgent than what you are currently working on, your response is obviously “YES.” You demonstrate your response is “YES” when you stop doing what you are doing and help your caller or drop-in-visitor.

Saying “YES” is also the correct response when the interrupter’s need is just as important, but more urgent than what you’re doing, or it could be somewhat less important, but more urgent. You take time for an interruption when you, your interrupter and your company benefit from avoiding a critical deadline.

2. Say “Yes, I’ll take the time to help you make progress.” If you can’t give all the immediate help needed, take a few minutes to find someone who can. If you can’t find someone else, the only alternative is for you to take a few more minutes to help the interrupter make progress. Arrange to get back with him/her later to give more help, if it has not been necessary for you to find someone else to do so.

3. Say “YES, but not now.” When the importance of your interrupter’s request is greater or equal to yours, but the urgency of the interrupter’s need is clearly less than the urgency of what you are doing, arrange to get back with the person at a time of mutual convenience, if you are the only person who can give assistance.

4. Say “NO.” The “NO” response is reserved for time wasting interruptions. If your caller or visitor wants you to get involved in something unimportant to you and your company, regardless of its urgency, say “NO.” Many say they have trouble saying “NO” to callers and visitors because it makes them feel guilty. The “NO” response is reserved for those timewasting situations in which you would ultimately feel guilty if you did not say “NO.”

Having a range of responses to interruptions, and knowing which one to use at the right time, will make you more professional, more productive and a better team member. Remember, if you do not control how your time is used, others will control it for you, and not always to your benefit.

One of the important skills you need for time management is goal setting. Without that ability, you’ll have a much harder time taking the steps necessary to get your day organized and to complete your tasks in an orderly fashion. Below are some examples of how goal setting and time management are connected.

The Building Block Method

One of the best examples of the connection between goal setting and time management is the most effective way to accomplish goals or tasks: breaking them into smaller jobs. If you’re facing a major goal or a big project, it can be overwhelming. You may have no idea how you’re going to accomplish anything.

By breaking the end aim into smaller components, you’ll find the task to be a lot more manageable. You can complete each of the smaller components in less time and this gives you the confidence to keep moving forward. Eventually, you end up completing the project or the goal and you do so without excessively stressing yourself out.

Danger of Procrastination

Procrastination is the enemy of both goal setting and time management. By constantly putting off and delaying what needs to be done either to complete a goal (or setting goals in the first place) or a project, you end up making it harder to get something finished and you increase your levels of stress.

Most of us feel the urge to procrastinate, especially in the face of an unpleasant or seemingly impossible task. However, we have to fight that feeling by forcing ourselves to keep working. Here’s a tip. If you’re facing something you don’t want to do and you’re thinking about procrastinating, force yourself to spend at least ten minutes on the project. By the time you get that far into the work, you’ll probably be able to keep going until you get it done.

Signs of Success

When traits of highly successful people are identified, both time management and goal setting always make the list. That’s because these are skills that naturally lead to greater levels of success in life. If you know what you want in life and can focus your efforts on achieving that goal, you stand a much better chance of reaching it than the person who never really thought about where they wanted to end up in life. The same is true with managing time. If you take a too relaxed approach to your work, you’ll end up getting little done at the end of the day.

Habits to Form

The good news is that even though time management and goal setting are challenging to learn and to use at first over time they do get easier and will become almost like a habit. You’ll begin to set goals without thinking about it, and you’ll be listing your day’s projects mentally as soon as you wake up in the morning.

But that future habituation can only happen when you start working towards improving these skills today.
