time management software freeware

In the modern world of computer technologies bulk or mass email has become one of the more successful ways to promote and sell a company’s products and services. Like any marketing strategy, bulk emailing has advantages and downsides.

The main disadvantage of the bulk email strategy is that the email may not reach its target recipient. This can happen because of bulk email blockers setup for email accounts. Blockers direct bulk email into a separate email folder, so the recipient cannot directly access it from his inbox.

At the same time, one of the advantages of bulk emailing is that it makes it possible to communicate directly to the target market. Such communication is done individually, so that the recipient may be addressed personally in the message. Another benefit for companies and organizations using this strategy is that they do not have to spend much on advertising. Promoting services and products by means of bulk email is actually much cheaper than using print, radio, or television advertisements.

How to send bulk email? One of the most commonly used ways is signing up for bulk email services and hosting. Companies that provide those services usually offer a variety of product packages with different specifications. The customer can choose a reputable company and the plan that best suits the needs of his business. You can search the Internet for the companies that offer bulk email services and hosting.

Another way to distribute bulk email is by using computer software. Different kinds of programs designed to cope with this task are available on the Internet.

How to choose the right email management software? Email marketing, with its ever-growing complexity and infrastructure, requires perfectly suited software. The email messages emails are the least responded forms of communication and therefore bulk mailing is needed most of the time. Bulk email marketing is surely one of the most cost-effective strategies on the Internet as the cost of a single email is minimal. There are many types of email marketing software that are designed to send bulk email. Some programs are freeware and do not require any investment at all. Even though these freeware programs don’t have many valuable features included in paid software packages, they generally suit for a small email marketing campaign.

For a successful email marketing campaign, bulk email management software must have some basic features such as email templates, tracking system, and contact list management capabilities. A good software package must handle both plain text and HTML messages. A tracking system is important for measuring an email campaign response rate. Most standard email programs are capable to let you know whether or not the email messages you sent to your mailing list were delivered or read. Another important feature of the email marketing software is the ability to manage mailing lists. A good email marketing program must allow maintain multiple lists in the address book. This is very convenient because you can segment your recipients by their preferences and send more relevant email messages to each list. The Merge capability is also one of the essential features you should look for. The experience shows that impersonal emails get less response rate. Using the Merge feature you can personalize the message for every recipient and thus, build stronger relationship with your email list.

So, before buying an email marketing program, look at the various features it provides, as well as its cost. Another thing that you should take into account is the compatibility of the software with your system configuration. It’s ideal if the company offers a free trial period for software. Many companies allow a 30-day trial period for their software. It’s quite enough to evaluate all the features of the program and decide whether it suits your business needs.

project time management

As an entrepreneur, you will have budget constraints and deadlines which might compel you to execute projects on quick turnaround times. Optimizing resources such as time and cost are crucial to any business, and doing the balancing act is no mean task. Hence, project time management plays an important role in any kind of project that you take up, because its success depends greatly on how effectively you utilize time. This piece covers the A to Z of successful project time management.

Stay focused: As a project manager, your focal points will be the three dimensions on which the success of a project hinges. These are completing the work on time, staying within the budget and maintaining the required quality standards. Don’t take your eyes off these three main goals.

Plan everything: This is one thing that every project manager agrees upon. You must motivate your team members to actively participate in planning all the activities in detail. Involvement of team members will definitely add to the success of the project. However, be ready to deviate from the script, based on the real-world situation. Try to come up with innovative ideas and make improvements to existing plans whenever required.

Set deadlines: Projects are generally taken up for a fixed period of time and with limited resources at hand. Hence, induce a sense of urgency among your team members. Keep track of the project’s progress, prioritize work and follow up with the participants on a regular basis. Formal review meetings are a great way to make sure everyone’s on the same page.

Prioritize your work: Common sense tells us that efficient project time management is not possible if one tries to do everything at the same time. It is very common for an organization to handle multiple projects simultaneously. Hence, list out all the tasks you must carry out to achieve your company’s goals and rank them in order of importance. This helps you focus on doing things that are really critical, first.

Establish a “clearing house”: If lots of ideas are competing for attention, sort and sift before you commit resources. Do that by setting objective criteria for project selection, and only then determine which project is to be approved on priority.

Increase deliverables slowly: Although deadlines are important, don’t rush things at the cost of quality. Remember, the risk of rework is always high. Conduct due diligence at every stage, and execute in parts. It’s best to ramp up deliverables gradually. For example, aim at incremental increase in revenues, or a steady improvement in productivity, rather than a quantum jump.

Be a role model: Sometimes you might have to play multiple roles in your business, in order to lead from the front. Keep reminding your team members about the goals that need to be achieved, the importance of their contribution and the commitments made to stakeholders and sponsors. But to be really effective, you will have to lay down the example yourself.

While we talked about the softer skills that are needed for successful project time management, you could also benefit from the use of software programs that can help schedule the complex and long term activities that go into a project. Checklist from and VIP Organizer are a couple of examples worth exploring.

time management evaluation

Do you manage your time or waste it little by little?

Most of us have very little concept of just how much time we fritter away.  For instance, take a quick survey of how much time during the average week that you watch TV, surf the Internet, or any other time-consuming activity that may not directly contribute toward accomplishing your most desired goals.

If you find yourself thinking you don’t have enough time to finish what must be done, much less time to productively contribute to the goals you want to accomplish, you may be overdue for a realistic time evaluation.

And now you’re thinking.  ’Take time to do a time evaluation?’   I know, if you don’t have enough time now, you certainly don’t have time to do an evaluation of your time.  It’s ironic, but that is precisely when you need to take stock of your time management.  Consider it an investment to gain better use of your time and to accelerate the achievement of your important goals.

Let’s look at an example of a typical time consuming indulgence.  How often do you watch your favorite television shows or DVDs. Say you watch 3 one-hour shows each evening Monday through Friday, and over the weekend you view 3 to 6 hours of sports, a DVD, or some other entertaining show.  If that’s the case, you have consumed 18 to 21 hours each week.  That is a significant amount of time out of anyone’s week.  Of course, there will also be other activities that don’t directly contribute to successfully achieving the things you really would like to accomplish.

If you are really serious about evaluating your time to see where it all goes, consider the following exercise. Track your time each day for a week in 30 or 60 minute increments. To do this right, you will have to commit to accurately documenting your activities.

Be honest as you note where your time is spent.  This can be tricky, as you will certainly surprise yourself along the way. You may find it hard to admit just how much time is clearly nonproductive.  It is just human nature to bounce from one activity to another without a lot of forethought.

Of course, we all have unexpected, but important things come up that require attention.  Mark those down as necessary tasks.

If you adhere to this time evaluation exercise for at least one typical week, you will then learn how you are realistically spending your waking hours. You will soon develop a new perspective about your time priorities.

You may find that you actually like the way you are utilizing some of your time.  But, what about the time that you discovered as being frittered away?  The approach to making changes in your time planning can run from making a simple priority list each day to implementing a time management software program.  Only you can decide which action will work best for you.

However, beginning with a simple approach is the best place to start.  Figure out what your goals are, decide what must be done to accomplish those goals, and then breakdown the steps required to achieve the results you want.  You may find that there are 3 to 4 specific tasks that must be done within a certain time frame if you are going to be successful.  Those tasks become your priorities and the other daily duties simply follow behind.

The trick is to learn how to discipline yourself to adhere to the priorities you have set, and not be led astray at every turn.  For someone who has difficulty managing time this will take practice.  But, if you truly make a commitment to accomplishing your goals and set a time frame in which that must be completed, you will be on the right track.

With this knowledge in hand, you can now plan how you want to more productively use your future time.  That is, how you will best use your time for greater efficiency, more successful results of your goals, and even how you want to respond to unexpected events or tasks.

process management software

In the grind of office life, managers are some of the most important people present. Yet, they are often burdened with so many menial tasks that take up valuable time. Business process management software can help relieve some of the administrative managerial tasks that chip away at a manager’s precious time.

Day-to-day tasks such as initial screenings of clients, suppliers, applicants or service providers, monitoring compliance issues, auditing and similar tasks take up much of a manager’s time and effort. Yet, managers are actually selected not only for their diligence in performing these tasks, but for reasons involving leadership, liaison activities and the ability to be a spokesperson of the company, of their employees and of upper management. These are the tasks that really put a manager to good use.

At the same time, it may be too much to ask for an assistant to take on all of the administrative tasks of a manager and still be held accountable for manager-level mistakes.

Business process management software is often offered as SaaS or Software as a Service, whereby the licensing of a software program or suite is offered at a low rate, on a time-constrained basis (typically monthly). This is not only more affordable than creating a position to handle administrative managerial tasks, but it is also more efficient as management software is able to automate many of these tasks.

On the other hand, this type of software is not limited to helping managers with day-to-day tasks. It can also help to allocate resources, monitor compliance and production, plan and implement projects, streamline business processes and more.

advertising project management software

Project Management is an increasingly popular career choice for young graduates. According to statistics produced by the Middlesex University National Centre for Project Management, 1.5 – 2 million people earn their living as Project Managers in the UK alone.
Requiring strong organisational and leadership abilities rather than specialist industry knowledge, Project Management provides a varied and challenging career. Project Managers are required for the co-ordination of projects of every size and scope within environments ranging from hospitals to financial institutions, and advertising firms to charities.
How do I get in?
Entry into Project Management is usually via several years experience in a particular industry or sector, but there are a growing number of junior and trainee roles available, as well as vacation and graduate internships ranging from three weeks to a year in length.
It is also possible to gain relevant experience by working in an administrative position within a project team. Project Support roles, such as Project Assistant and Project Secretary, typically require excellent IT skills and at least several months work experience within an office environment, with project experience considered advantageous.
However, demonstrable knowledge of project management methods and software (e.g. MS Project) provides bonus points for the experience-bare CV. Of the project management methods available, PRINCE2TM is currently most popular in the UK, and is standard in the public sector. Becoming familiar with the terminology, principles and structure of the PRINCE2 methods will make any candidate stand out for a Project Support role.
Moving up
Beyond the administrative roles, positions such as Project Planner and Project Analyst provide useful stepping-stones for those wanting to pursue a Project Management career. These usually work alongside the Project Manager, so gaining in-depth knowledge of the specific project and insights into the practical application of project management methods.
Project Manager
The fundamental role of a Project Manager is to manage a set of resources – people, money, materials etc – to accomplish a series of tasks within a defined budget and scope. The project might be the installation of a new IT system, the staging of a concert, or the development and implementation of a marketing campaign.
The Project Manager is responsible for ensuring that all aspects of the project – the products and reports required, the roles of individual staff members and the deadlines by which specific tasks must be completed – are defined in advance, are communicated to the project team and are monitored throughout the project’s duration.
Typical pay
A Project Manager can earn anything between £20k (in and entry-level position) to £100k+ in senior roles. According to Arras People, most Project Managers earn between £30k and £50k per year. Forty percent of the surveyed Project Managers working under contract earned between £350 and £500 per day.
At the top of the tree
At the top of the Project Management tree is the Programme Manager, who has total accountability for the planning and successful execution of multiple projects, each run on ground level by a separate Project Manager. Programme Managers usually have at least eight years experience behind them, including senior project management and the organisation of large project teams (50-80 people). Project Management qualifications are also a frequent ‘desirable’ at this level, the most common in the UK being PRINCE2 and APM.
Typical pay
The average salary for a Programme Manager falls between £50 000 – £64 000, with only 9% of Programme Managers earning less than £35.5k per year. A well-paid and demanding role, Programme Management requires in-depth understanding of the project management process, and the ability and drive to make each project happen. PRINCE2â„¢ is a trademark of the Office of Government Commerce

In today’s information workplace e-mail is the conduit through which lots of that information flows. This article shares a few things I’ve learned from the rockstars in the book, as well as providing an insight into the system I currently use for email.

Much has been written about managing e-mail, some of it even mentions the important link between e-mail mastery and its parent skill: time management. Rather than rehash old content I recommend you keep that link in mind when reading content on this topic. In my opinion, any system that doesn’t link these two skills together is not worth learning about.

Before we begin, I want to give a quick shout out to two bright lights of prior art on this subject. Mark Hurst wrote an article back in 2002 about the subject which compared the act of managing e-mail with the classic arcade video game Tapper. Being a classic video game enthusiast, I LOVED the analogy and also loved the article. Mark has expanded the article into a book: Bit Literacy. I hope to interview Mark Hurst for the next edition of the Rockstar project and I plan to read his book. The other bright light I’ve found is Merlin Mann whose famous “Inbox Zero” talk is a web phenomenon even more popular than Rickrolling. Merlin’s easygoing manner also makes his content a pleasure to watch and read.

I’m old school, through and through. For time management, I use an old fashioned Franklin-Covey planner, and do the full system, “big rocks” and all. It works for me, but it is a bit short of being fun to use, which Merlin points out is a desirable attribute for an e-mail management (and time management) system. For e-mail, I’m equally old school. I use XEmacs VM mode combined with fetchmail, procmail and mairix for my email client (aka Mail User Agent or MUA if you want to be pedantic (which I often do)). Fetchmail is a simple IMAP client that sucks my email down to /var/mail/edburns, the way God intended. Procmail is a rule based filtering program that takes the mail and filters it to folders. This is how I deal with SPAM. Mairix is an email indexing and searching utility I learned about from rockstar programmer Adrian Colyer, Chapter 2 in the book. That’s the software stack. Here’s how I use it to get the job done.

One of the things Merlin leaves out of his 58 Minute Google Tech Talk on Inbox Zero is how to prioritize the reading of the email in your INBOX which you will reduce to zero. My old boss and college crony Tony Ng shared a prioritization scheme with me that works for me and I’ll share it with you.

0. Filter mailing lists straight into folders so they never end up in
your INBOX.

1. Process emails with URGENT: or ACTION: in the subject.

2. Process emails from people in your “list of important people.” This is somewhat like a whitelist, but not specific to spam filtering.

3. Process emails sent directly to you, either in the To: or CC: list.

4. Process emails received in the last 24 hours.

5. Process emails received in the last week.

XEmacs VM has a nice feature called “virtual folders” that allows one to use regular expressions to put a view on top of your INBOX, only showing those messages that match the regular expression. I have virtual folders that implement steps 1 – 5, and I use Procmail to implement step 0.

Even with all this, I still don’t have an empty INBOX, but at least I can get replies back quickly. Don’t lose hope, just do your best!
