In today’s fast paced society there are more distractions than there ever have been. A liberal free society gives us prosperity but along with that comes consumerism, media and so many choices young minds are inundated with information, decisions and distractions by the bucket load. This has led to a generation of young people trying to learn more than any other generation ever has without any formal time management skills when they need them more than any other generation in history. So to help students who feel they are falling behind and struggling with life and study here are some time management tips for students.

Work/Life/Study Balance – Managing your time is something everyone does automatically but usually it is subconscious as we rush from classes to work to parties and so on. While we are in a rush to experience everything life has to offer we trip ourselves up by planning it poorly. If you are serious about managing your time well you should allocate time to these parts of your life and adjust them as you see fit. When you need to study you should not be partying too much for instance which may seem like common sense but most people just try to estimate the time needed to get it all done. Instead actually give yourself a certain amount of time for each part of your life adjusted for specific situations and if you go overtime in one make sure you make it up later. Write it down and adhere to it or you will destroy any real structure.

* The Boring Stuff – Life can never be eternally interesting and unfortunately there are a lot of unpleasant and boring tasks that must be done. Too many students put these things off until it is too late like assignments and end up doing poorly. While if you put things off you free up time NOW you force all of your boring bits into one massive session that will lead to more procrastination and lack of motivation. Try to do the unpleasant tasks first, and while everyone tells you to do this it never seems to end up working … so how can we help this?

* Time Chunks – Sitting and doing those boring assignments or projects early may seem daunting but it does not need to be so. By breaking down the large things you just do not want to do into smaller chunks you can complete smaller sections at a time making it seem like less of a task but there is another reason for this also. If you have a stack of smaller tasks you can allocate them in time “chunks” that have a definite start and end time giving you time to move on to other more pleasant tasks or at least alternate between different but equally boring tasks. Sometimes just getting a few boring things done early in a day then moving on to more interesting things can stop the endless pushing back of tasks and they will be done before you know it!

* Rewards – All work and no play makes students very dull! Even if you are psyched to get motivated and have good time management do not forget to have fun and give yourself some small rewards for avoiding procrastination and getting things done. You will in fact with good time management skills you will end up with more free time than you have before and you could be stress free come exam time too!

I hope you can use these time management tips for students to study successfully and live the life you want to lead instead of the life that you are forced to lead because you cannot get it together.

It’s not often that a software project management book comes along that is practical, easy to read and stacked full of ready to use process scripts. Andrew Stallman and Jennifer Greene have done just that with recent book Applied Software Project Management.

There are too many books about software project management or software engineering which are dry, overly complex and boring, but this book is not one of them. It was a joy to read because their style of writing is clear without being simplistic and the authors describe things in just the right amount of detail. It seems they understand their audience and set out to write in an extremely helpful and practical way. They have certainly achieved this.
Part one of the book covers tools and techniques that can be applied on projects. Project planning, estimation, scheduling, reviews, requirements, design and programming and testing each have their own chapter. Part two is about using project management effectively and has chapters on understanding change, management and leadership, managing an outsourcing project and process improvement.

Stallman & Greene certainly appear to know a lot about problems that face software teams. As early as the introduction they describe the need to overcome chronic problems and this theme is continued throughout the book. For each problem, there is always at least one proposed solution. For example, they describe a common scenario whereby senior managers do not trust the estimates of the technical team, somehow believing that the technical team is deliberately over-estimating in order to give themselves some slack time. Their proposed solution is to involve these managers in the estimation process so they can see the estimates being made in a transparent and systematic fashion. They then go on to describe in detail how to run a Wideband Delphi estimation session and provide examples of templates and documents that can be used during such sessions. They also provide a valuable process script for teams to follow.

Subsequent chapters cover planning, scheduling, reviews, requirements, design and testing. Whilst most of these chapters cover each topic in reasonable detail, the section on design is lacking in detail and provides no description about what kind of design deliverables might be produced nor any detailed description of what these design deliverables might contain. This is in contrast to the requirements chapter which contains process scripts for requirements elicitation and analysis as well as a detailed description of use cases and software requirements specifications documents.

The authors might want to reconsider some of the examples they use. They describe the process of recapturing code in order to make it more maintainable and use an example of some Java code which they gradually refractor over several iterations. At the end of this process they say why recapturing would be applicable in situations where code is spaghetti-like. This is fine, except they use an example of very un-spaghetti-like Java code to refractor. By doing this it looks to me that they fall into a common programmers trap of code beautification where programmers spend time from the schedule iteratively improving code that works just fine in order to write the perfect? code, class or object. I’ve seen this happen on projects where there simply wasn’t the time in the schedule to allow this, and it certainly didn’t bring any additional business benefits to the stakeholders. However this is a minor gripe.

I would have liked to have seen more pages devoted to risk management. Time and again, not managing risks is cited as a reason why projects fail. Iterative approaches on the other hand assume that requirements will change during the project either because users gain a better understanding of what they need, or because of changes to the business environment. Professional Project Management is becoming more pervasive. Like “electrification” occurred during the era of proliferation of electricity, “projectization” is occurring throughout the workforce and organizations. Most of the emphasis I have seen is on professional project management. However, most people will not be professional project managers, but rather will be team members, support personnel, subject matter experts, department managers, C-level executives, and the like. This article explores what is being said about this broader workforce in a projectized world.

The essential question is, “What knowledge level about project management do non-project managers need to have in order to function effectively on professionally managed projects?” One parallel situation over the past 25 years has been the proliferation of computers. Virtually everyone in the work force has needed to acquire at least a user-level knowledge of computers and a variety of software packages. This has included understanding the basics of Windows and MS Office, competence in using the internet, and the ability to use a variety of applications. Similarly, a basic level of knowledge is required to function effectively in a projectized world. Here are 5 key areas of focus for non-project managers to be effective in the world of projects:

1. A project has a beginning and an end, with smaller beginnings and ends in between. – Understanding the anatomy of a project can help to distinguish between other things that actually are not projects, but may be termed such. This will put a non-project manager onto the same page conceptually as a professional project manager.

2. Understand the difference between the plan for a product and the plan for a project. – This is one of the most common misconceptions. This often occurs for those with deep technical abilities, which often makes workers more “product centric”. They mistakenly think that a clear description of the product, whether written, in drawings, or some other representation is enough. The problem is that there are many issues and challenges surrounding that product that are in the realm of “project management”, not “product management”.

3. See that all projects need to be, at some level, an implementation related to the overall objectives of the organization. – Everyone in an organization should have a pretty good, albeit general, idea of where the organization is going. If that is not true, it may be a failing of upper management as often as an employee or associate. What is important here is that, given the assumption that the individual understands in general terms the overall objective, directives, and current initiatives of the organization, that they have the basic sense to ask and seek to understand how the project aligns with those objectives.

4. Recognize that projects are budgeted in terms of time, money, and resources, and that they need to achieve objectives within constraints on these resources. – This is a basic fact of life, and scarcity as a concept is one of the foundations of economics. A mature awareness of this fact should spawn a curiosity and awareness that there are constraints on all projects, and should encourage questioning on the part of any team member about the constraints on their given projects. Awareness of project constraints on the part of team members is a healthy development for any project manager.

5. Understand what a stakeholder is. – Stakeholders are anyone who is affected by the project. Recognizing that there are many potential stakeholders will raise awareness of risks and opportunities. Stakeholder awareness should become second nature to project managers and non-project managers alike as part of a projectized culture.

Competence in understanding and incorporating the above into day-to-day activities can bring project skill “ownership” to non-project managers such that they are very effective on most projects. In fact, they will likely be able to manage portions of projects or small projects on their own.

There are many other topics that can be of interest to everyone in the organization. In the process of becoming “projectized”, an organization needs to continuously educate everyone in the organization. The indoctrination of everyone in the basic essentials of project management is part of that. The results will be more successful projects, smoother functioning teams, and alignment across the organization within the important function of managing projects.

1. Daily Task Planning

A project manager, quite simply defined, is an individual who is responsible for the entire project. He or she is not responsible for completing every task. Indeed, it is unlikely that the manager would even have every skill needed to complete all the work. He or she is simply the final decision maker. A successful project manager uses a variety of skills. He or she must be able to efficiently obtain information which is then used to make informed predictions and business decisions. The ability to thoroughly analyze, create and implement successful projects requires dedication and foresight. A very organized, self-disciplined individual with experience in presentations is well fitted to a managerial position. This kind of manager stands out as a team leader who inspires employees and at the same time effectively achieves positive communication with customers when needed.

After the formalities of decision-making are over, the manager’s hard work begins. Managers must envision the progress that should be made with an impartial eye. Adjustments may need to be made in the progress of goals and the effectiveness of actions. Team motivation and focus is essential and managers should be vigilant with these things as teamwork equals quality. Quality is pivotal in the overall progress of the project. Amidst all of this the manager has to keep an eye on time constrains and budgeting. A watchful eye for quality assurance will determine success or failure of any project. The good project manager will also be able to use this knowledge to achieve the most successful results from his or her team. Diplomacy combined successfully with assertiveness, rather than aggressiveness, is a useful combination of skills. Clear lines of communication to the team and among team members are important. It should be noted that, while maintaining the schedule is the manager’s responsibility, team members should have input into developing this schedule.

In 1981, PMI directors published a set of appropriate standards and guidelines.
