How does Project Management Costs vary with the size of the whole (software development) project?

If you consider that the project management is a percentage of the total project cost, it appears to me that this percentage varies with the size of the project (not considering the hidden costs). Consider the case of software development project. How would that curve (cost of management versus total cost) appear like?

In my experience as a software development project manager for a consulting / developing firm we added 25% – 35% of project management cost ON TOP of the actual development cost.

The reasoning for this is that the PM is the link between the customer of the project and the developers. Often they speak two different languages and you need the PM in between in order to “translate”.

The range of 25% – 35% depended on the customer. If we knew that the customer was “easy” to deal with, then we could usually get away with only adding 25%. But if the customer required more hand holding and was generally “difficult” then we went as high as 35% because the PM would need to invest a lot more time into the project.

Time management is basically about being focused. The Pareto Principle, also known as the ‘80:20 Rule’ states that 80% of efforts that are not time managed or unfocused generates only 20% of the desired output. However, 80% of the desired output can be generated using only 20% of a well time managed effort. Although the ratio ‘80:20′ is only arbitrary, it is used to put emphasis on how much is lost or how much can be gained with time management.

Some people view time management as a list of rules that involves scheduling of appointments, goal settings, thorough planning, creating things-to-do lists and prioritizing. These are the core basics of time management that should be understood to developing a efficient personal time management skills. These basic skills can be fine tuned further to include the finer points of each skill that can give you that extra reserve to make the results you desire.

But there are more skills involved in time management than the core basics. Skills such as decision making, inherent abilities such as emotional intelligence and critical thinking are also essential to your personal growth.

Personal time management involves everything you have or do not have to do every day. No matter how big and no matter how small, everything counts. Each new knowledge you acquire, each new advice you consider, each new skill you develop should be taken into consideration.

Having a balanced life-style should be the key result in having personal time management. This is the main aspect that many practitioners of personal time management fail to grasp.

Time management is about doing everything that are most productive in an effective way, not just about being busy.

The six areas that personal time management seeks to improve in anyone’s life are physical, intellectual, social, professional, emotional and spiritual.

1.The physical aspect involves maintaining a healthy body with balanced meals and regular exercise, and managing stress and fatigue.

2.The intellectual aspect involves learning and other mental growth activities.

3.The social aspect involves developing personal or intimate relations and being an active contributor to society.

4.The professional aspect involves school and work in establishing your career.

5.The emotional aspect involves appropriate feelings and desires, and manifesting them accordingly.

6.The spiritual aspect involves a personal quest for meaning in life.

Thoroughly planning and having a set of things-to-do lists for each of the key areas may not be very practical, but determining which area in your life is no given enough attention is part of time management. Each area creates the whole of you; if you are ignoring one area then you are ignoring an important part of yourself.

Personal time management should not be so daunting a task. It is a very sensible and reasonable approach in solving problems big or small. A great way of learning time management and improving your personal life is to follow several basic activities.
1.Review your goals often whether it be short-term or long-term goals. A way to do this is to keep a list that is always accessible to you.

2.Always determine which task is necessary or not necessary in achieving your goals and which activities are helping you maintain a balanced life style. Each and every one of you have a peak time and a time when you slow down, which are your natural cycles. You should be able to tell when your most productive time of the days and nights are so that you can plan to do the most difficult tasks at those times.

3.Learn to say “No” when you do not what to be involved. You actually see this advice often. Heed it even if it involves saying the word to family or friends.

4.Give yourself a pat on the back or just reward yourself with something nice for an effective time management result.

5.Try and get the cooperation from people around you who are actually benefiting from your efforts of time management.

6.Don’t procrastinate. Attend to necessary things immediately.

7.Have a positive attitude and set yourself up for success. But be realistic in your approach in achieving your goals.

8.Have a record or journal of all your activities. This will help you get things in their proper perspective.

These are the few steps you can take in becoming a well-balanced individual. As they say, personal time management is the art and science of building a better life. From the moment you integrate time management skills into your life, you have opened several options that can provide a broad spectrum of solutions to your personal growth. It also creates more doors of opportunities for you to knock on.

Many people equate hard work with success.

There are many aspects to any successful business that have to be covered. Many of them go on behind the scenes to make other aspects of it as productive as possible. Business time management is certainly one that falls into that category. Without it you may be losing money with your business.

If you haven’t made it a primary focus for your business it isn’t too late to start. Take a close look at where time is perhaps being wasted in your business. Those are your weakest links where you need to make some concessions. Those types of losses aren’t going to improve on their own so do your part to take action.

There are many different ways in which you can accomplish better business time management. You may need to implement just a few basics or a complete system. Business time management methods though will ensure you are able to get the most production from your employees.

By focusing on improving business time management you can avoid having unrealistic expectations of what employees can accomplish. If you constantly ask employees to do unreasonable things then you’ll find they’ll resign.  Most of them won’t speak up instead they’ll be quiet and start to look for another job.

Surprisingly others will just simply stop showing up for work. Their time and attendance will become poor and you’ll waste a lot of time on performance management.  Either way you have lost valuable employees. It is always more cost effective to keep the employees you do have than to train new ones.

So when focusing on improving your business time management you need to take your workforce with you.  Don’t simply try to impose a new regime on them. 

When there are large projects that have to be completed, business time management is essence. If you let big clients down by not completing them on time you will lose their future business. This can result in a very large sum of money that your business doesn’t get as revenues through sales. When projects are cut too close to the deadline employees will be stressed out. In many instances they won’t be able to offer their very best work either.

There are quite a few different aspects of your business that need to be covered that fall under business time management as well. With the right tools in place you and your employees can accomplish them without too much of a struggle. For example it can assist you with planning and with setting up realistic goals to reach for over the course of the year.

There will be plenty of times when effective decision making has to be done at a moment’s notice. Those responsible for such decisions don’t want to end up regretting what they chose to do. Setting up schedules and delegating responsibilities can all be done with the right business time management program in place.

However you decide to improve your business time management do it carefully, gently and in a planned manner in conjunction with employees.

What are some good time management skills? Study tips?

I find it a little hard to keep all of my time in order, especially with homework and sports and the like. I would like to have enough time each night to finish all of my work and look over the notes for the day and still get a reasonable amount of sleep. If you have any tips or tricks to stay on track and get the most out of the afternoons, they’d be greatly appreciated!

Time Management Skills:
Plan enough time for study. As a general rule, in college, you should study at least two hours outside of the classroom for every hour that you’re in a class.

Develop the habit of studying at the same times each day. The creates stronger study habits.

Get a weekly or monthly planner – depending on your preferences – and write all due dates for assignments and test dates.

Study Skills:
Try to not spend more than one hour at a time on any one subject. Try not to spend more than 20 to 30 minutes on memorization. Short blocks of time are the best method for studying and retaining information.

You’ll need to take frequent rest breaks in order to remain alert. Try to take at least a ten minute rest break in between studying for two different subjects. Also, try starting your study time with the most boring or most difficult subject and end on your favorite, funnest or easiest subject.

Try to study similar subjects at separate times. It is important to separate study periods for similar subjects. This adds variety to specific study times and keeps your brain alert and active.

If there are certain times of the day in which you always become sleepy, avoid studying during those times.

Being in college demands that a student have steady nerves and time management skills. Naturally, college students are prone to pressure and stress. With all the studying, classes, part time jobs, extra curricular activities and social obligations, it is a little difficult to balance time properly and effectively.

It is not correct to concentrate on one activity alone, as you will lose out on the others. Ensure you distribute your time to avoid missing out on any activity that you have decided to pursue.

Here are several tips for college students that can help them manage their time. This can help you attain a balance and a stress free attitude to help you complete all your tasks.

1. Set up your goals. In his book ” 7 habits of highly effective people”, Steven Covey shares a story of a jar full of big rocks, which illustrates how one must prioritize ones activities and set out to achieve them. In this manner, you can clearly define your goals and not neglect one for the other nor have them pile up and left incomplete.
Once you have decided on your ultimate goal, you proceed to identify all the other goals that you need to achieve. For instance, define your extracurricular goals, social activity goals and academic goals. In doing so, you are determining what you need to accomplish within a day, week and semester.

2. Prioritize. Once you have identified your ultimate goal and the other secondary goals, you will have a clear idea on what you need to accomplish. Prioritizing means organizing your tasks in an order to know what deserves maximum importance and what requires least importance. Set up a list daily on what tasks need your maximum attention.
3. Get organized. This is the key to completing all your tasks in time and is an important aspect of good time management. Identify your goals and set up a schedule for each task. A weekly calendar can help you in doing this. Here you need to list your mark social events, club meetings, class schedules, review hours, and other activities that are important for achieving your goal. Ensure that you include all the periods for all the activities and clearly mark your deadlines and due dates of accomplishments.
4. Do not procrastinate. Procrastination is a deficiency. If you give into procrastination, you are disrupting your entire balance of time. You will fail in completing tasks and everything will pile up at the end. Once you set out on a task, do not stop till you finish it. Do not allow yourself to forget due dates or neglect schedules.
5. Use your free time. Incase you have free time at hand, use it to accomplish any small task. For instance, when you are waiting for a bus, or sitting in between classes, you can utilize this time to finish up on something easy. These are good opportunities to save time and finish up on the little tasks so that you can effectively finish the larger ones.
6. Identify you maximum productivity period. That is, locate that time of the day, when you are at your productive best. If you are able to do this, you will know what time you should allot to each task and you can use your productive time for the more challenging tasks. In the times when you have least energy, complete the less demanding tasks. If you implement this strategy, you will be able to complete more tasks effectively.

Develop a time management plan and implement these tips to achieve better skills as time goes by. You will soon become a balanced and all-round college student.
