This practically useful and famous theory is known as “Getting Things Done” or “GTD.”

According to this theory, you don’t have to remember what you have to do in your daily life. Whether, it is a doctor appointment, office meeting, friend’s wedding or any other important thing. You just need to concentrate on what you are doing at a particular time. There is no need to think at all what you’ll be doing beyond that time. Doing so, at least your mind will get free from the task of remembering the things that you have to do. And so, your concentration will automatically improve on what you will be doing at a particular time interval.  You must be wondering that how all these things are possible. And, if you won’t remember what you’ll have to do next then how would you be able to do things that need to be done at their times?

This is the point where the theory of GTD helps you in the management of your time and duties while making your life easier at the same time. The GTD is different as compared with traditional time management systems. GTD not only helps you to manage your time effectively but at the same time following GTD principles drive you to achieve your goals and help you get succeed in your life in an organized and planned manner.

There are three basic building blocks of the GTD i.e. workflow, framework and natural planning which are further divided into sub categories so that your planning and daily tasks could fit well into them. By following the GTD, you can not only divide and manage your daily routines but can do your life time planning and forecast your future if you follow the same routines as guided by your GTD.  You just need to collect your tasks , process that how you will perform them, organize i.e. when each tasks need to be done then review if all the tasks are assigned proper times and then do your tasks accordingly. All this tasks management and acting accordingly comes under the workflow of the GTD.

Once you have organized all of your tasks then you need to focus on your work and your goals. You can focus on your current actions, current projects, and current responsibilities. Time management can be described as a range of expertise, tools, and procedures used to manage time in the process of accomplishing specific tasks, projects and goals. The concept of Time Management includes a broad variety of activities including but not limited to planning, allocating, setting goals, delegation, analysis of time spent, monitoring, organizing, scheduling, and prioritizing.

When we spend time, there is no improvement in efficiency, productivity, or effectiveness. The time is gone without a return. Many people spend their days in a frenzy of activity, but achieve very little, because they’re not concentrating their effort on the things that matter the most. We save time when we perform tasks in less time or with less effort than previously. We use shortcuts and processes that streamline activities. We invest time when we take time now to save time later. We spend time when we go to a movie; however, if we are a screenwriter, the time spent in the movie is an investment since it will help polish our writing skills. If we invest time to learn screenwriting software, we will save time in the future when we compose our scripts.

Personal time management skills are essential skills for effective people. People who use these techniques routinely are the highest achievers in all walks of life, from business to sport to public service. One who uses these skills is able to function exceptionally well, even under intense pressure. Time management strategies are often associated with the recommendation to set goals. These goals are recorded and may be broken down into a project, an action plan, or a simple task list. For individual tasks or for goals, an importance rating may be established, deadlines may be set, and priorities assigned. Authors may recommend a daily, weekly, monthly or other planning periods, usually fixed, but sometimes variable. The principles of Project Management have been with us for a long time. There has also been a number of Project Management software packages introduced over the years, beginning with mainframe based commercial packages introduced back in the early 1970’s. Some of it has been quite good, others are based on sheer quackery. Some people naively buy such packages in the hopes they will be some sort of panacea to cure all project woes; that projects will start to come in on time and on budget simply because a certain tool was purchased. Inevitably, they are puzzled when projects still go awry even with the latest software. I believe there are three reasons for this:

1. Companies are blinded by technology and fail to recognize the human dynamics involved with Project Management. Instead of working with people to successfully achieve their project assignments, they rely totally on numbers instead.

2. Companies fail to consider the total processes involved in Project Management and tend to attack it in piecemeal. For example, there are interdependencies between planning, estimating, scheduling, reporting, and control. Attacking only one of these problems will inevitably have an adverse affect on the others. In other words, companies fail to grasp the comprehensive nature of Project Management and tend to attack the problem of the moment, such as estimating or scheduling.

3. Companies believe Project Management is an end to itself; that by mastering the mechanics of Project Management, development projects will come in on time and within budget. They are easily shocked when this does not occur.

I refer to this last item as the “tail wagging the dog” phenomenon. True, the mechanics of Project Management are important, but too often people forget it represents nothing more than the dials and gauges to our business. To illustrate, a company using an assembly line process can effectively produce products without the aid of Project Management. The assembly line simply denotes the dependencies and sequencing of the work effort in order to produce a product. Project Management can then be applied to monitor activity and determine slowdowns and work stoppages or accelerations of production, all of which may require corrective action by management. However, trying to apply Project Management without the assembly line is an exercise in futility (it measures nothing). In other words, the assembly line represents the road map from which we will start and end our development efforts. Without the road map, Project Management is useless.

Ultimately, the assembly line represents the methodology for a project which defines Who is to perform What task, When, Where, Why and How (which we refer to as the 5W’s + H). Without a defined methodology, you simply cannot perform Project Management. Without the road map, you cannot plan; without a plan,you cannot estimate or schedule; without an estimate or schedule, you cannot determine if you are ahead or behind. Bottom-line: Everything starts with the road map.

Although companies may occasionally have a project using a unique methodology that will be executed no more than once, most companies have standard and reusable methodologies they use for different parts of the business. For example, a methodology for engineering a product such as an automobiles essentially the same for all such projects. The same is true for designing and constructing a building, performing customer service, managing finances, laying out marketing campaigns, or engineering enterprise-wide systems and software. Unknowingly to most, companies have a portfolio of reusable methodologies they regularly use on projects.

Methodologies consist of a work breakdown structure which expresses dependencies between steps in the project. Each methodology is normally defined using different levels of abstraction which breaks the project into smaller, more manageable pieces; such as phases, activities, and tasks. By doing so, the methodology defines the 5-W’s + H. Other characteristics include review points (for stop/go/revise decisions) and benchmarks used to substantiate completeness of a step within the methodology. Such benchmarks typically take the form of “deliverables” to quantify completeness before proceeding with the next step in the project. Finally, a methodology includes a beginning phase for planning,middle phases for execution, and a final phase for review or audit. As an aside, Industrial Engineers have been devising methodologies for many years (long before the advent of computers).

The current fascination with Project Management is healthy and should not be discouraged, but people should be reminded that it is only possible with an effective methodology; it is the Achilles’ heel to Project Management. Without it, you will inevitably drive in circles. This may all sound rather obvious, but as I have discovered in this field, the obvious isn’t always obvious.

You have to juggle different requirements – the quizzes, exams, projects, etc. There are also extra-curricular activities and out-of-school activities plus your personal life and social life. So how will you maintain that excellent academic performance? It is said that it takes a lot of skills to have a better academic performance. These are note-taking skills, listening skills, studying skills and time management skills.

Time management skill is one of the predictors of better academic performance and some study supported it. A study shows that effective time management strategies increase academic performance and achievement especially for college students. Furthermore, another study is conducted to determine which of the two – time management or leisure activities- is effective in lowering the academic stress. The result shows that time management had a greater effect in lowering academic stress than leisure activities. Because of this, students are encouraged to attend seminars about time management and to be provided with a lot of information and training on time management.

Time management can also be applied to all areas of your academic life, in studying, in planning, in making your requirements and in your everyday life as a student.

How you will manage your time in studying for an examination? Here’s how. Avoid cramming. If your exams are in two weeks time, set a schedule for each subject to study, don’t study all subject in just one day. Your brain can’t process all the information in such a rapid rate and you may have difficulty retaining all the information in your memory. Other suggestions in managing your study time are: Study first the subjects which you like least, study during your best time of the day: If you can process more during night, then study during that time. But you have to make sure that you study in a place where there is no distraction or noise.

In accomplishing all the requirements which are usually projects, don’t procrastinate! Procrastinating is waiting to do the task until the last minute. If you have a lot of projects to do, finish first the project with the nearest deadline. Plan and make a schedule on your projects so that they will not pile up.

Also don’t forget that time management includes the fun part. There should have a balance between work and fun. If you are already tired of studying or making projects have a little time off to stretch and reward yourself for what you’ve done. Say for example after finishing an examination, plan with your friends to have an outing! This is a great way to relieve stress and the good thing is that you don’t sacrifice any of your study time because you already planned it. But remember to also say no if someone asks you for fun and you know that it will greatly affect your study time. There is an appropriate time for studying and fun!

Time management shouldn’t be considered a task; take one areas of your school life like studying and apply time management. You don’t have to impose it in yourself in just an instant. This is best effective if it is gradual.

By ensuring that you allotted time for the different aspects of your school life you will surely have a better academic performance. This will also make your school life fun and not a burden because you will be free from stress and pressures.
