It’s not often that a software project management book comes along that is practical, easy to read and stacked full of ready to use process scripts. Andrew Stallman and Jennifer Greene have done just that with recent book Applied Software Project Management.

There are too many books about software project management or software engineering which are dry, overly complex and boring, but this book is not one of them. It was a joy to read because their style of writing is clear without being simplistic and the authors describe things in just the right amount of detail. It seems they understand their audience and set out to write in an extremely helpful and practical way. They have certainly achieved this.
Part one of the book covers tools and techniques that can be applied on projects. Project planning, estimation, scheduling, reviews, requirements, design and programming and testing each have their own chapter. Part two is about using project management effectively and has chapters on understanding change, management and leadership, managing an outsourcing project and process improvement.

Stallman & Greene certainly appear to know a lot about problems that face software teams. As early as the introduction they describe the need to overcome chronic problems and this theme is continued throughout the book. For each problem, there is always at least one proposed solution. For example, they describe a common scenario whereby senior managers do not trust the estimates of the technical team, somehow believing that the technical team is deliberately over-estimating in order to give themselves some slack time. Their proposed solution is to involve these managers in the estimation process so they can see the estimates being made in a transparent and systematic fashion. They then go on to describe in detail how to run a Wideband Delphi estimation session and provide examples of templates and documents that can be used during such sessions. They also provide a valuable process script for teams to follow.

Subsequent chapters cover planning, scheduling, reviews, requirements, design and testing. Whilst most of these chapters cover each topic in reasonable detail, the section on design is lacking in detail and provides no description about what kind of design deliverables might be produced nor any detailed description of what these design deliverables might contain. This is in contrast to the requirements chapter which contains process scripts for requirements elicitation and analysis as well as a detailed description of use cases and software requirements specifications documents.

The authors might want to reconsider some of the examples they use. They describe the process of recapturing code in order to make it more maintainable and use an example of some Java code which they gradually refractor over several iterations. At the end of this process they say why recapturing would be applicable in situations where code is spaghetti-like. This is fine, except they use an example of very un-spaghetti-like Java code to refractor. By doing this it looks to me that they fall into a common programmers trap of code beautification where programmers spend time from the schedule iteratively improving code that works just fine in order to write the perfect? code, class or object. I’ve seen this happen on projects where there simply wasn’t the time in the schedule to allow this, and it certainly didn’t bring any additional business benefits to the stakeholders. However this is a minor gripe.

I would have liked to have seen more pages devoted to risk management. Time and again, not managing risks is cited as a reason why projects fail. The authors do describe risk management in a cursory way, for more details visit to www.viral-toolbar-builder.com yet the book would benefit from a better description of how and why risk management should be done throughout the project, not just in the early stages of project planning.

Iterative approaches on the other hand assume that requirements will change during the project either because users gain a better understanding of what they need, or because of changes to the business environment. Based upon this assumption, iterative methods are designed to better manage this changing environment. The authors spend barely a page on the Rational Unified Process (RUP) and the authors should look more closely into how their practical advice and processes might be used on alternative iterative approaches to the waterfall approach.

Properly Screening Outsourcing Candidates

One of the most common mistakes made in outsourcing software projects is delegating the project to an individual who lacks the necessary qualifications and capabilities to complete the project efficiently.

Companies who regularly outsource work may establish working relationships with individuals they are confident will perform well but before these types of relationships are established it will be necessary to carefully screen each potential candidate before outsourcing a job.

There are precautions companies can take when they are considering outsourcing a software project to ensure the candidate they select is well qualified to complete the project. The following are a few of the basic precautions companies should take:

1. Describe the project sufficiently in job advertisements
2. Review applications and resumes carefully
3. Schedule interviews with qualified candidates

Establishing Schedules When Outsourcing

Another mistake often made by companies who outsource is to fail to establish a firm schedule. This may not be especially harmful when the schedule of the project is flexible but it can be a serious mistake when the schedule of the project is not flexible.

Finding a candidate who is qualified to handle outsourcing work is important but it is also important to find a candidate who is available when you need someone to complete the work.

This is a significant point because some candidates may be well qualified but if they are not available when you need them they are not an ideal candidate to complete the project.

It is best to discuss scheduling upfront when screening outsourcing candidates. This is important because it can be costly to spend time finding a candidate only to find out they are unavailable towards the end of the screening process.

Spending Too Much Money on Outsourcing

When evaluating the costs associated with outsourcing a software project it is important to consider a number of factors. First evaluate the amount the client is paying for the completion of the project.

Next assess the in-house effort which will be required for this project including management and recruiting candidates to complete the project. Determine the percentage of the budget which will be consumed by these efforts.

Now it is time to look at the remaining budget and determine how much can be invested in outsourcing the project while still remaining profitable. The fees paid to the independent contractor or consulting firm should not be so high that they do not enable the company to profit from the project.

So what is project management?

Project management is the application of knowledge, skills, tools and techniques to a broad range of activities in order to meet the requirements of the particular project. A project is a temporary endeavour undertaken to achieve a particular aim.

The Latin word projectum means, “to throw something forward.” Project Management is all about making things happen and moving forward and has existed for thousands of years. For example, the Great Pyramid of Giza 2,550 B.C, the Great Wall of China 221 B.C. – 206 B.C or the Roman Coliseum 80 A.D. all used project management techniques.

Project Management is as much a way of thinking as it is an approach that can be applied to any initiative large or small that must deliver within a certain timeframe and cost, in order to meet specific objectives.

Recognised as an essential capability for organisations to maximise value and reduce costs, Project Management has developed considerably in the past 20 years. Today Project Management is a professional discipline with a body of knowledge, a set of skills and competencies and professional certification bodies (listed at the end of this article).

The Basic Principles

There are a number of significant principles which determine success in any project. These are simple and well known principles, however they are difficult to apply and are quite frequently ignored in practice.

1. Precise Business Needs

Successful projects are business driven. This represents the ‘why’ of the project, and it is important because it provides the basis for all decision making.

2. Defined Benefits

Projects are about translating the business need into the business benefit. In addition to the business need, the ‘bottom line’ benefits must also be well defined in terms of source, timing and quantity.

3. Explicit Plans

Effective planning, allows people to work together in a co-ordinated way in order to achieve the project objectives. Effective planning is dependent on being at an appropriate level of detail and being presented in an appropriate way.

4. Agreed Deliverables

Quite simply a ‘deliverable’ is an unambiguous way of defining responsibilities in terms of outputs rather than inputs. Each phase, area and task within the project plan should have a tangible deliverable associated with it, ie. something that one can see, touch, or otherwise validate.

5. Pro-Active Decision Making

Project work has little momentum of its own, unlike routine work. All parties involved are therefore required to take the initiative and actively look for ways of driving and improving the project outcome.

6. Single Point Responsibility

In business tasks are only completed successfully when people have unambiguous accountabilities. ‘Single point responsibility’ for results is of the very essence. The Project Manager is ultimately responsible for making the project happen and must ensure that every staff member receives the right amount of project management training accordingly.

7. Active Follow-Up

Plans have practical value only when they are used to help people do their daily work. They are similarly used as a means of identifying problems while there is still time to overcome them. Plans must therefore be used throughout the entire project in order to allocate tasks and monitor achievement.

8. Open Communications

Time must be invested in communication as it is the key to a successful project. By effectively communicating the project and issues everyone involved has the opportunity to take the initiative and contribute fully with ideas and decisions.

9. Good Teamwork

Teamwork in projects is absolutely critical but does not happen automatically. Project work involves people from different parts of the organisation, often with competing priorities and different perspectives, which can make teamwork all the more difficult to achieve. Teams must therefore be actively developed by the Project Manager.

10. Strong Leadership

Successful projects are usually led by an individual who is committed to the project objectives, and who has a completely clear view of where the project is going and how they intend to get there. The leadership qualities of the Project Manager are as important as their technical management skills.

Benefits of Project Management

In order to apply project management principles it takes time and effort, disciplines and techniques. The results are there for the taking if you are prepared to make the effort.

Applying a project management approach is not easy. At the start of a project the project management approach may not necessarily show immediate results. But the investment always pays off in the long run.

Project management adds value in quite a number of ways, some of which are detailed below:

1. maximises the benefits of the project by focusing the efforts, of everyone involved, on the business need while working to improve the value of the result.

2. advances the benefits by minimising the time taken for the project and wherever possible, achieving a phased delivery of business results.

3. optimises resources by ensuring that everyone knows what they have to do.

4. minimises costs by ensuring that only essential work is completed, and that work does not have to be redone.

5. avoids wasted time simply by communicating extensively, and running effective meetings which result in agreed actions, which are completed.

By using project management principles and practices millions of dollars can be saved on projects. It can dramatically accelerate the introduction of beneficial change, and greatly increase the satisfaction of everyone involved, alleviating enormous frustration usually involved in projects.

When applied with sensitivity and adjustment the benefits of project management far outweigh the time and energy invested.

But do what does your company really need? A fully-fledged custom warehouse management system can track everything from stock location, warehouse activity monitoring and user activity tracking, whereas asset management software is more focused on managing assets and/or inventory through a barcoding system. Warehouse management software and asset management software can be a great way to keep track of your assets and inventory, but it all begins with assessing your needs and requirements.

Warehouse Management Software

As the name suggests, warehouse management software encompasses a large part of your logistics operation, from tracking products from your suppliers, its storage and user interaction to its final destination. This process is accurately and closely monitored by a barcode scanning system that can identify products and receipts that need to be logged and eventually tracked from the warehouse management system itself.

If your business is involved with the delivery stage of the product, consider an automated service where the delivery route is planned according to multiple delivery points in any given delivery service. This will typically be implemented when goods are picked for delivery, a real time saver since loading personnel will first of all be able to choose the correct stock that will be selected on a certain day and then locate the stock according to its inventoried state.

As you can see, it’s a highly integrated approach that relies on correct user input and reliable software that will bridge each stage of development. Of course, this centrally managed warehouse system is even more valuable when you have multiple warehouses. As a result, web-based warehouse software is a much more attractive option in that different warehouses can store and retrieve information based on real-time inventory information – especially effective when you can synchronise data with existing products, such as Sage or QuickBooks.

Inventory Management Software

Where warehouse management is (usually) a seamless mesh of integration, an asset management system controls just one aspect of logistics – the assets (and inventory) of your business. A barcode scanner will usually be the interface of choice for most companies, although this is set to change with the advent of RFID tagging. Either way, stock or assets are managed through a central system much like warehouse management software and can be tracked at their different stages in the supply chain.

Wasp Barcode, the barcode scanning company, distinguishes assets as products which are used by the company and may need to track their assets based on who has them etc. Inventory management, on the other hand, is much more fluid in its operation since this is incoming (from suppliers) and outgoing (to customers) stock. In their line of products, then, asset tracking software is all about locating assets whereas inventory management software is basically tracking the input and output of stock in a business.

Despite this distinction in product type, if you need to track stock accurately (probably a requirement of most successful businesses!) and even want to update your customers with current stock levels (common in the case of e-commerce), then inventory management software is really the only way to go to ensure quality and efficient stock taking.

Which One?

When it comes to choosing, the most obvious difference in the two types of stock management is scalability. If your company is involved with picking stock from a supplier, storing in a large facility, selling to customers and delivering the goods, then warehouse management software is certainly a wise choice. On the other hand, small businesses might choose asset management software in conjunction with barcode scanners to maximise their stock management accuracy, ultimately reducing the time and cost for unnecessary deliveries and customer dissatisfaction.

. Long are the days where the stay at home mom focuses solely on cleaning, cooking, and other chores. Being a work at home mom is now considered to be a professional choice that takes a lot of dedication and persistence. This is especially true when it comes to appropriately managing time. Here, I will offer some effective time management skills for moms who work from home.

One of the most important time management skills when it comes to working at home as a mom is to set a schedule in place. Schedules are everything! Now, most of us who elect to work at home do so in part due to the amount of flexibility that we can enjoy. This is where many women simply throw out a “schedule”. Most of these women eventually discover that there has to be some sort of dedication, some sort of timing in place that is designated for everything. It is so easy to get distracted by the laundry, telephone calls from friends, and even that grocery shop that you anticipate with dread. Create a schedule where you allow “blocks” of time to be dedicated for work, and then place times in between work time blocks to take care of the other things that need done. This will allow you to work more efficiently, and will help ease the stress of your day as well!

The next time management tip for moms who work from home is being able to say “no”, and mean it. It is important to come to terms with the fact that your friends, family members, and neighbors simply do not understand that when you work at home, professionally, and mother children that you are pretty tied up. They think that you can do whatever you want, whenever you want. It is not uncommon to receive phone calls from these individuals asking if you want to go out somewhere, or if you can take them here or there, and other last minute things. If you give in every single time, you will soon find that the kids are begging for your attention, the laundry is pilling up, and your work clients are probably not too happy. Learn to say “no”, and let everyone know that if they want to make plans, it is important to do it ahead of time.

There are three things that can really put a large strain on your time. These things include checking your email, internet surfing, and telephone calls. If you fall into the trap of checking your email every half hour, answering the phone every single time that it rings, or even surfing the internet periodically throughout the day, it is very likely that you will end up losing several hours of time a day! Turn the ringer off on the phone or turn it down, and hook up an answering machine to the telephone. Designate a time every single day where you return calls, and be sure to watch the amount of time that you end up chatting. Also, you should designate times for checking email, and do it in fifteen minute blocks. The same should be done if you want to surf the internet. These are some of the measures I take when it comes to time management skills for moms who work from home, and they have proven to be successful for me!
