Do project managers truly, in all essence, manage projects? This is a rather tricky discussion as, ultimately, all project managers really do is manage a collection of simple to complex tasks. When you really analyze the matter, though, this is not something to simply be taken for granted, because it is in these tasks that all the vital actions take place and transpire.

Managing Tasks on a Project

The function of scoping, planning, controlling, managing risks, and more is all about figuring out what tasks are to be done and making sure they get done (at the right time and in the right order). But without the execution of those tasks, any upstream job function, such as the planning and so forth, are a waste of time. Getting the tasks done is what it is all about; and anyone aspiring to get into project management needs to know how to get tasks done — and how to lead others to do so.

Managing Tasks in a Department

Keeping a department going on a day to day basis involves spending time “at the edge”, or on the exception. It involves being both reactive, as processes are monitored and adjustments are needed, and it involves being proactive, as projects are undertaken to improve and advance the processes that exist within the department. Being good at managing change is being a good planner; but sound task management, at the end of the day, is where all the action that matters takes place. If the task does not require action, then there really is no need for management.

Managing Tasks in an Organization

Action in an organization is a collection of executable tasks within the organization. Making that action take place where it counts the most is the job of upper management. Understanding how to get things done, as well as what, why, when, where, and who, is what leadership is all about. All executives must be good at task management in order to perform effectively.

The Knowledge Economy and Task Management

The knowledge economy has a close relationship with task management; but, unfortunately, people often lose sight of the relationship. In the distant past, it used to be that an individual would be responsible for many tasks, and that is still true in many small businesses. For example, even today, a small proprietor of an auto body shop is usually intimately familiar with every detail of operations, from estimating and business development, to repairing auto bodies, to administration and finance. Much of the high-level-knowledge management work, because it is in one head, is simply executed.

In larger organizations, by contrast, a great deal of collective effort might be put into the process of just turning a bolt. For example, on a manufacturing production line, a worker may need to place a panel and connect it using a couple of bolts. The action of performing this task ends up being a small fraction of the total cost of completion. Behind the task, we will likely find work studies, statistical analysis, much planning and coordination, product design scenarios, and more – all culminating in someone tightening a couple of bolts. Without the tightening of those bolts by hand, all of the upstream work is for naught. Everyone working in “knowledge management” needs to recognize the ultimate goal of their efforts — maintain perspective on the main objective.

Personal Time Management and Task

It is easy to become frustrated with personal time management and, sometimes, even more frustrated with much more complex challenges. It always comes back to task management, no matter what level is being worked. For example, managing a project is simply an umbrella over a more complex set of tasks, and the only thing that really moves the project forward is the completion of those tasks. A similar statement can be made about department management or organization management.

A more complex situation, such as building a system, or building a building, proves the point. In the end, after all the planning, meeting, discussion, and thinking, what is left is a set of tasks that, if completed on time and within budget to proper quality standards, brings about a successful project. So it is simply a collection of everybody’s task lists, alignment with the strategy, and properly prioritizing and sequencing what ties together time and task management. And, in the end, it’s all about task management.

System Overview:

Transport Management provides a number of solutions for courier bookings. These include receiving client bookings via data entry, client onsite systems or through web bookings over the internet. These bookings flow into the radio dispatch area where the requirements are communicated to the delivery vehicles. When a booking has been completed, it moves into the booking review area for pricing adjustments. After the adjustments have been finalised, the booking is passed on to invoicing. The accounts system can then allocate incoming payments and keep track of debtors. An automatic status update for a booking may be sent back to the client either by email or by CRM.

Once a booking has been made, customer service screens are available to review bookings within any screen. Review screens differ depending on whether the booking is a distribution run or a standard booking. Internal electronic “Chat sessions” can be conducted by staff to discuss particular bookings. The cost of a new booking is automatically calculated by the freight rating engine.

Rating contracts are used to automatically calculate the booking cost. These may be attached to clients. Rating always defaults to a client contract. Cost centre contracts are used in the absence of client contracts. Rates information is centralized, minimizing client onsite systems maintenance.

When I tell people that I’m a Project Manager, I often get an initial “Oh….neat!” response which is usually followed by a comment that is something along the lines of “So….what exactly do you do?” Occasionally if I’m speaking with a Software Developer I may get a mild snarl, a clear sign they’ve had experience working with a poor project manager; a topic I will address in future articles.

What this tells me is that not only is there a ways to go before the practice of Project Management is understood; but even further to go before it is valued more widely than it is now. For how can something be properly valued if it isn’t truly understood?

This is of course not to say that the practice of Project Management isn’t widely appreciated in many organizations. Indeed, a large number of companies have implemented Project Management Offices, the Project Management Institute is exploding in popularity, and it certainly seems that the number of Project Management openings out-numbers the supply of Project Managers. However, it is often times larger organizations that have adopted this practice, and in an economy where just under half of the work-force is employed by small businesses there are a significant number of organizations that have never used Project Managers, and even more employees that have never worked with a Project Manager. Ironically, it is small businesses that could quickly and painlessly reap the benefits of Project Management.

So what exactly is Project Management an what does a Project Manager do? According to the Project Management Institute (PMI) “a project is a unique temporary endeavor, with a set beginning and end.” and that “More formally, PMI defines project management as ‘the application of knowledge, skills, tools and techniques to a broad range of activities in order to meet the requirements of a particular project.’” This second part may not tell you much without diving further into the subject; but let’s focus on the former for now. In order to understand Project Management, it is critically important to understand that a project is a unique, temporary endeavor with a specific objective. Project Management is not Operations. And while a specific operational objective may be a project, and a project upon completion may be handed over to operations, the two are distinctly different.

Now that we’re clear on what a Project is, we can move onto the more formal definition quoted above. Essentially, this is saying that Project Management is the methodology used to achieve the objective of a project. Therefore, a Project Manager is someone that has the necessary “knowledge, skills, tools, and techniques” to manage a unique endeavor and ensure that it meets it’s objectives.

Even knowing all this, it still may not be clear to you what exactly a Project Manager does. A project manager is a little like the manager of a baseball team. They make sure that the objective is clear, that it is understood by everyone on the team, that all parties (stakeholders) have had input into the project, that all the required work is understood, that each team member knows what they are responsible for, ensures that risks are identified and contingency plans have been created, verifies that all work is being completed on schedule, etc, etc, etc. The list of course goes on and on. The reason I like using the analogy of the baseball manager though is because when some people hear what a Project Manager does, they feel they shouldn’t even need a project manager. They initially think that if everyone on their team did their job the project would be successfully completed even in the absence of a Project Manager. This can only be true however in the same way that a baseball team doesn’t need a manager to play a baseball game. It could be done, and they might even win some games, but they won’t win the World Series. The same is true with projects. In the absence of a Project Manager there are certainly some items that will be accomplished; it is certain however that there will be delays, cost overruns, quality will suffer, and that the end result may be quite different than what the project called for. Ultimately, Project Management matters for the same reason management matters in baseball; because whether it’s a baseball game or introducing a new product or service, winning matters.

Is project management an art or a science? How do I deal with problem employees? How can I improve employee morale and boost productivity? What skills can I develop that will ensure that my projects will run smoothly and to a successful finish. This essay tries to answer these questions, drawing from lessons I have learnt on the job. While the examples I provide are from a software company perspective, most of the article applies to any kind of domain. Being a Project Manager, I have found, calls upon 5 different sets of skills:

  • A. Organizational skills
  • B. Communication skills
  • C. Problem-solving skills
  • D. Leadership skills
  • E. Team-building skills

A. Organizational skills

Do you consider yourself an organized person who can generate and keep track of multiple documents? If so, you already have one of the most important skills needed as a Project Manager. On the job, I was called upon to keep track of requirements and design documents, contracts, schedules, personnel records, project reports, communication (email) records, hiring history, meetings and status reports. Luckily for me, I have always been a meticulous record-keeper (since I don’t trust my memory ), and this saved me from being overwhelmed.

B. Communication skills

This does not refer to just giving presentations, but to various forms of written and oral communication. A Project Manager is expected to produce high-quality project planning and design documents, and send out meeting agendas, updates, status reports and courteous and effective email. A good manager, I observed from my peers, is able to get his/her ideas across clearly and in a non-confrontational manner, without seeming to impose views on subordinates. This is a skill I am still learning. Good negotiation skills also fall into this category.

C. Problem-solving skills

A good manager has the knack of seeing the big picture for any problem, while others may miss the forest for the trees. I was frequently called upon to analyze a problem, research and compile a list of alternative solutions, determine the best course of action and get it implemented by my team. The trick is to never lose sight of the big picture – the overall problem we are trying to solve.

D. Leadership skills

This one is not easy. It is tricky to get your team to go with your idea without making them feel that the idea is being thrust on them. The team looks to the Project Manager to provide direction and vision. To be able to do that, I had to work constantly towards enhancing my knowledge – breadth of knowledge is very important, but depth is important too – superficial knowledge fools noone. A manager must earn the respect of his/her team, and the best way to do that is to lead by example.

E. Team-building skills

This is an often-neglected area, forgotten in all the excitement of project deadlines. But the effort spent motivating a team to perform to the best of its ability is worth its weight in gold. Four easy points to remember are: reward achievements, provide feedback, recognize strengths and provide challenges. 

Instead of talking in generalities, let us follow the lifecycle of a project step by step, and see how these skills come into play. A Project Manager is involved in all of the following 5 phases of a project.

  • Phase 1: Scoping the project
  • Phase 2: Planning the project
  • Phase 3: Launching the plan
  • Phase 4: Monitoring progress
  • Phase 5: Wrapping up the project

Project Management is an increasingly popular career choice for young graduates. According to statistics produced by the Middlesex University National Centre for Project Management, 1.5 – 2 million people earn their living as Project Managers in the UK alone.
Requiring strong organisational and leadership abilities rather than specialist industry knowledge, Project Management provides a varied and challenging career. Project Managers are required for the co-ordination of projects of every size and scope within environments ranging from hospitals to financial institutions, and advertising firms to charities.
How do I get in?
Entry into Project Management is usually via several years experience in a particular industry or sector, but there are a growing number of junior and trainee roles available, as well as vacation and graduate internships ranging from three weeks to a year in length.
It is also possible to gain relevant experience by working in an administrative position within a project team. Project Support roles, such as Project Assistant and Project Secretary, typically require excellent IT skills and at least several months work experience within an office environment, with project experience considered advantageous.

Project Manager
The fundamental role of a Project Manager is to manage a set of resources – people, money, materials etc – to accomplish a series of tasks within a defined budget and scope. The project might be the installation of a new IT system, the staging of a concert, or the development and implementation of a marketing campaign.
The Project Manager is responsible for ensuring that all aspects of the project – the products and reports required, the roles of individual staff members and the deadlines by which specific tasks must be completed – are defined in advance, are communicated to the project team and are monitored throughout the project’s duration.
Typical pay
A Project Manager can earn anything between £20k (in and entry-level position) to £100k+ in senior roles. According to Arras People, most Project Managers earn between £30k and £50k per year. Forty percent of the surveyed Project Managers working under contract earned between £350 and £500 per day.
At the top of the tree
At the top of the Project Management tree is the Programme Manager, who has total accountability for the planning and successful execution of multiple projects, each run on ground level by a separate Project Manager. Programme Managers usually have at least eight years experience behind them, including senior project management and the organisation of large project teams (50-80 people). Project Management qualifications are also a frequent ‘desirable’ at this level, the most common in the UK being PRINCE2 and APM.

The average salary for a Programme Manager falls between £50 000 – £64 000, with only 9% of Programme Managers earning less than £35.5k per year.
